Student Intern, Housing (Atala Hall)

The Atala Hall Housing Operations and Student Services Intern serves as a student-facing connection between Atala Hall residents and Housing and Residential Life. The intern supports front-desk coverage, professional communication, mail cataloging and distribution, staff scheduling, operational projects, and peer support. This project-based learning experience gives the intern increasing responsibility for identifying needs, proposing solutions, leading selected projects, and reflecting on professional growth.

This internship is designed to connect meaningful housing operations with career preparation. The intern will practice sound judgment, receive regular coaching, and complete projects with clear outcomes. The role includes opportunities to lead peers, mentor student staff, provide peer coaching, and improve systems that support the Atala Hall residential community.

Examples of Duties

Primary Responsibilities

  • Serve as a welcoming, informed, and professional first point of contact for Atala Hall residents, families, guests, and campus partners.
  • Answer phone calls, respond to routine questions, provide accurate Housing and Residential Life information, and refer concerns to the appropriate professional staff member.
  • Maintain awareness of front-desk procedures, building resources, housing deadlines, and approved communication protocols.
  • Document questions, service needs, and recurring concerns so staff can identify trends and improve the resident experience.
  • Protect student privacy and handle sensitive information in accordance with institutional expectations.
  • Receive, sort, catalog, secure, and distribute USF student mail and packages using approved logs, spreadsheets, databases, or tracking systems.
  • Verify recipient and package information, investigate discrepancies, and escalate lost, damaged, unclaimed, or misdirected items when needed.
  • Maintain accurate mail records and prepare periodic summaries of volume, unclaimed items, recurring errors, and service needs.
  • Help develop and maintain a reliable staffing schedule for mail processing and front-desk coverage based on service hours, workload, staff availability, and known campus needs.
  • Identify coverage gaps, recommend adjustments, and communicate approved schedule changes promptly and professionally.
  • Create or update written procedures, checklists, and training materials that promote consistent mail handling and desk coverage.

Project Based Operations and Critical Thinking

  • Complete at least one semester project that improves an Atala Hall front-desk, mail, scheduling, or resident-service process.
  • Gather relevant information, analyze patterns, define the problem, compare possible solutions, and present a recommendation to Housing and Residential Life staff.
  • Use data and resident feedback to support decisions and evaluate whether an implemented change improved efficiency, accuracy, access, or student service.
  • Support additional administrative projects, records management, operational assessments, and process improvements as assigned.

Team Leadership Mentoring and Peer Coaching

  • Serve as a positive team leader during assigned shifts and projects by clarifying tasks, coordinating workflow, and helping the team meet shared goals.
  • Build community by creating a warm, welcoming environment while taking ownership of the space and the overall student experience.
  • Mentor and peer coach student staff on front-desk expectations, mail procedures, scheduling practices, customer service, and problem-solving strategies.
  • Model inclusive communication, accountability, ethical decision-making, and respect for different perspectives.
  • Provide constructive feedback, recognize team strengths, and refer performance or conduct concerns to the supervisor rather than acting outside the intern's authority.
  • Collaborate with Resident Assistants, Community, professional staff, and campus partners to support a safe and welcoming residential environment.

Minimum Qualifications

  • Current New College of Florida student in good academic and conduct standing who have not completed an NCF academic internship.
  • Strong organization, attention to detail, reliability, and commitment to student-centered service.
  • Clear written and verbal communication skills and the ability to work respectfully with diverse individuals.
  • Comfort using or learning spreadsheets, databases, scheduling tools, mail-tracking systems, and standard office technology.
  • Ability to manage multiple priorities, protect confidential information, meet deadlines, and ask for guidance when appropriate.
  • Interest in housing, student affairs, operations, leadership, mentoring, or community development.
