Job Summary
- Our CEO leads a demanding schedule of client meetings, negotiations, site inspections, partner engagements and strategic decisions.
- The Confidential Secretary will bring order, speed and discretion to that schedule, acting as the CEO’s gatekeeper, organizer, scribe and trusted point of contact.
- You will manage the flow of information into and out of the CEO’s office, keep priorities on track, and represent the office with polish and professionalism to every client, partner and colleague you deal with.
- This is not a routine secretarial role. It is a position of trust for a sharp, highly organized professional who writes well, listens carefully, works fast on a computer, and can be relied upon completely with sensitive information.
Responsibilities
Executive Diary & Office Management:
- Manage the CEO’s diary end-to-end: scheduling and confirming appointments, meetings, site inspections, and calls, and proactively resolving conflicts.
- Act as gatekeeper to the CEO’s office, prioritizing requests, screening visitors and calls, and ensuring the CEO’s time is spent on what matters most.
- Prepare the CEO for each day with briefing notes, meeting packs and reminders of key deadlines and follow-ups.
- Coordinate travel arrangements, itineraries and logistics for the CEO when required.
Correspondence, Documentation & Reporting:
- Draft, type, proofread and format high-quality letters, memos, emails, reports, presentations and other official documents, often at short notice.
- Take accurate dictation and minutes of meetings, circulate action points and track them through to completion.
- Read, summarise and prioritize incoming correspondence, reports and documents for the CEO’s attention.
- Prepare and manage property-related documentation such as offer letters, tenancy and sale correspondence, client schedules and transaction files, in liaison with the relevant teams.
Confidentiality & Records Management:
- Handle sensitive business, client, financial and personnel information with absolute discretion.
- Maintain a well-organized, secure filing system (physical and electronic) for the CEO’s office, with controlled access to confidential records.
- Ensure documents, contracts and approvals are properly logged, version-controlled and easy to retrieve.
Stakeholder Liaison & Front-of-Office Representation:
- Serve as the primary point of contact between the CEO and clients, partners, regulators, vendors and internal teams.
- Handle calls, enquiries and visitors courteously and professionally, projecting the company’s brand and values at all times.
- Follow up on instructions issued by the CEO across departments and report progress promptly.
- Coordinate internal and external meetings, including venue arrangements, materials and hospitality.
Requirements
- Education: Minimum of HND or B.Sc. in Secretarial Studies, Office Technology & Management, Business Administration, English or a related field. An M.Sc. is an added advantage, and candidates with a Secretarial Studies background will be given an additional advantage.
- Experience: Minimum of 5 years’ experience as a Confidential Secretary, Executive Assistant or Personal Assistant, ideally supporting a CEO or senior executive. Experience in the real estate sector is an advantage.
- Writing & Reading: Excellent command of written English, with strong grammar, spelling and a professional business writing style; the ability to read, digest and summarise documents quickly and accurately.
- Listening & Communication: Attentive listening, accurate note-taking and clear, confident verbal communication with people at all levels.
- Typing Speed: Fast and accurate typing and the ability to take dictation.

Skills
- Advanced proficiency in Microsoft Word, Excel, PowerPoint and Outlook (or Google Workspace), email and calendar management, and digital filing.
- Personal Attributes: Highly organized, discreet and dependable, with impeccable integrity, a calm disposition under pressure, sound judgement and a polished, professional presence.
- Residence: Candidates residing within or close to Ikoyi and its environs are preferred.
