Job Summary

The Claims Administrator is responsible for managing and resolving customer and supplier claims, coordinating rejected and quarantined inventory activities, collecting and maintaining claim documentation, and serving as a liaison between customers, suppliers, mills, processing facilities, and internal operations teams. This role ensures timely claim resolution, accurate recordkeeping, effective communication, and adherence to company quality standards and processes.

Job Description

Key Accountabilities:

  • Claims Management

  • Process and administer customer claims, including dollar claims, material returns, and return-to-inventory transactions.

  • Manage supplier claims and coordinate communication regarding claim disposition and resolution.

  • Investigate and document claim issues by gathering relevant data, records, and supporting evidence.

  • Maintain accurate records of all claim-related activities and resolutions.

  • Rejection Management

  • Coordinate and process material rejections occurring within the facility.

  • Manage rejections processed through third-party subcontractors and sub-processors.

  • Track rejected and quarantined inventory to ensure proper disposition and inventory accuracy.

  • Monitor claim status and follow through to final resolution.

  • Sample and Evidence Management

  • Receive and manage customer-provided samples related to claims.

  • Collect, package, and prepare samples for shipment to supplying mills as supporting claim evidence.

  • Gather and maintain photographic and physical evidence related to supplier and customer claims.

  • Ensure documentation is complete, organized, and available for audits or reviews.

  • Customer, Supplier, and Mill Communication

  • Serve as the primary liaison between customers, suppliers, mills, and internal stakeholders regarding claim-related matters.

  • Meet and communicate regularly with mill technical representatives regarding claim status, investigations, and resolution activities.

  • Coordinate plant-related claim communications and follow-up activities.

  • Provide timely updates to all parties throughout the claim resolution process.

  • Inventory and Quality Support

  • Manage and monitor rejected and quarantined inventory.

  • Assist with inventory disposition activities and material tracking.

  • Support quality initiatives by ensuring claims are handled in accordance with company procedures.

  • Meetings, Reporting, and Auditing

  • Conduct and participate in weekly claim status meetings.

  • Prepare reports and updates regarding open claims and inventory dispositions.

  • Support internal auditing activities as assigned.

  • Participate in layered process audits and other quality system reviews as needed.

  • Assist with continuous improvement initiatives related to claims processing and quality management.

Qualifications

  • One (1) year of administrative, clerical, customer service, quality, claims, or related experience preferred.

  • Experience in manufacturing, metals processing, quality assurance, or supply chain environments is preferred.

  • Good working knowledge of English, grammar, punctuation, spelling, style, etc.
