Job title: Workplace Support Assistant II
What you will do
- Ensuring all incoming and outgoing shipments are prepared recorded and dispatched as required; including training others as necessary
- Welcoming visitors; including preparing conference rooms for internal & external meetings, organizing catering and refreshments, administering desk bookings as needed
- Manage ordering of office supplies; monitoring and replenishing stock appropriately.
- Delivering excellent front of house service, including implementing visitor protocols, access badge assignment and ensuring incoming calls are received and re-directed appropriately
- Coordinate and deliver employee engagement events with support from local team members and departmental leaders
- Ensure the office and equipment is maintained in good order, including partnering with other stakeholders for AV, copiers and desktop equipment, ensuring general cleaning and maintenance has been carried out satisfactorily and escalating appropriately
- Support workplace moves as and when necessary, acting as host and security whilst vendors are working in the office.
- Providing a high level of customer service administrative support to the office & home-based employees as requested, resolving customer tickets, supporting onboarding and offboarding activities, ensuring confidential and sensitive matters are handled in a discreet and appropriate manner.
- Coordinating travel arrangements, itineraries, visa’s, ESTAs, Taxi’s and restaurant bookings etc. when requested
What you will bring to the role
- Proficiency in Outlook, Word, Excel, Internet
- Experience in operating office machinery – e.g. photocopier, scanner and shredder
- Ability to work independently and with a team
- Good time management skills
- Know when to make independent decisions or seek supervisory approval
- Willingness to adapt to new procedural requirements
Your experience
- Prefer 2-4 years office/business experience working in a support role
- Good standard of written and spoken English
- Ability to prioritise and handle multiple projects simultaneously; flexible and able to use sound independent judgment and take initiative to assess information within established procedures.
- Ability to interact in a diplomatic and professional manner, with clients, visitors and staff as required
- Ability to anticipate needs and follow through on all assigned tasks a must
- Conscientious with a professional approach to work
