  • We are looking for a Workplace Experience - Coordinator - Level 1 to support daily front desk and workplace services operations in New Jersey. This is a Contract position with a 3-month assignment, offering the opportunity to create a welcoming environment for employees, visitors, and service partners. The ideal candidate will bring strong customer service instincts, sound organizational skills, and a proactive approach to keeping office operations running smoothly.

Responsibilities

  • Welcome employees, guests, and vendors at the front desk while maintaining a courteous and friendly first impression for everyone entering the workplace.
  • Oversee visitor coordination by handling check-in procedures, parking arrangements, and required security steps with accuracy and care.
  • Monitor shared spaces through routine floor inspections to identify safety concerns, room readiness issues, and workplace support needs before they escalate.
  • Respond to questions and service requests from staff and visitors, resolving routine matters directly and escalating more complex concerns when appropriate.
  • Submit and track facilities and housekeeping requests, while also assisting with mail distribution, supply coordination, and workplace setup activities for new team members.
  • Partner with external vendors and internal service teams to help ensure consistent delivery of workplace support services across the site.
  • Coordinate on-site meetings and events by managing room arrangements, setup logistics, and cross-functional communication to deliver a smooth attendee experience.
  • Help plan and execute engaging monthly community activities that encourage employee participation and create a vibrant office atmosphere.
  • Follow site safety, security, and emergency procedures, sharing timely updates and supporting established protocols to maintain a safe environment.

Qualifications

  • Degree or comparable relevant experience with up to 2 years in customer service, hospitality, facilities support, reception, or administrative coordination.
  • Demonstrated ability to work within established procedures and maintain consistent standards in an office setting.
  • Strong verbal and written communication skills with the ability to interact confidently and courteously with employees, visitors, and partners.
  • Working knowledge of Microsoft Office applications and comfort using standard workplace technology tools.
  • Ability to manage multiple responsibilities at once while staying organized, attentive to detail, and service-oriented.
  • Experience supporting front desk operations, visitor services, or office functions in an in-person environment is preferred.
  • Familiarity with handling work orders, coordinating vendors, and supporting office events or onboarding activities is an advantage.
