The Welcome Desk & Visitor Coordinator position is for an individual who likes variety and has the skill set to manage multiple tasks in a dynamic environment. The position has three focuses: overseeing the daily operations of Eckstein Hall’s Welcome Desk, supporting the Manager of Building Operations, and providing administrative support to the Associate Dean for External Relations, Events, and Facilities.

Duties and Responsibilities

    1. Oversees all daily operations of the Welcome Desk and Mailroom, including revising and enforcing parking, building, and visitor policies; and updating daily events and registration lists. Monitors email and telephone communications after hours, during the weekends, and on holidays. Addresses urgent concerns that are reported by Welcome Desk student staff.
    1. Responsible for the supervision of approximately 25 student employees, which includes but is not limited to hiring, training, disciplinary actions, ending the student’s assignment, etc.
    1. Supports the Manager of Building Operations in ensuring a well-maintained, welcoming physical environment by reporting and tracking maintenance issues and custodial needs, working with Facilities Planning and Management to ensure issues and needs are addressed, and maintaining and utilizing a knowledge base of several systems (Mazevo event software, T2 Parking System, When to Work student scheduling system, LibCal, TMA, and CCure access system).
    1. Supports the Associate Dean for External Relations, Events, and Facilities by handling travel plans for conference guests and daily administrative tasks to assist with supporting the Dean of the Law School as well as events, alumni relations, and fundraising.
    1. Works directly with law students and the Student Affairs Department to reserve space for information tables and rooms for academic competition practices. Coordinates and maintains room reservation systems for Volunteer Legal Clinics and group study rooms.

Required Knowledge, Skills and Abilities

  • Associate’s or vocational/technical school degree
  • A minimum of one year of experience
  • Proficiency in core Microsoft Office Suite applications (Excel, Outlook, Word, PowerPoint, OneNote)
  • Problem-solving skill set: ability to identify a problem and troubleshoot solutions.
  • Experience directly supervising others
  • Strong written, verbal, and interpersonal skills required to communicate effectively with Law School Community members, guests, visitors, and student staff
  • Ability to work independently and collaboratively. Must be able to work with minimal supervision, requires exercising independent judgment
  • Ability to warmly greet and work with students, faculty, staff, and visitors, both in person and on the telephone
  • Track record of ability to problem-solve, multitask, prioritize, and manage time effectively
