Warehouse Officer / Oiler

Rece ive general stores, consumables, AGO and lubricant deliveries against approved POs / Service Orders and delivery documents, checking quantity, condition and specification before acceptance.

  • Coordinate inspection with end users (e.g. Maintenance / Facilities) where technical verification is required, and record and escalate shortages, damages or non-conforming items.
  • Raise Goods Receipt Notes and put away materials promptly in designated bin and storage locations.

Warehouse Facility, Storage and Housekeeping:

  • Maintain racking, storage layout, segregation of general, consumable, fuel / lubricant and hazardous items, and housekeeping standards across all warehouse and laydown areas.
  • Apply First-In-First-Out (FIFO) stock rotation and track shelf life of consumables and lubricants to minimise deterioration and obsolescence.
  • Support the Material Officer with offloading, space allocation and general handling of pharmaceutical, medical and Foundation stock, without taking custody of that stock.

Issuance and Material Availability:

  • Issue materials only against approved requisitions, maintaining signed issue records for every transaction.
  • Monitor stock against agreed minimum and reorder levels and alert the Warehouse Coordinator early on potential stock-outs, excess or slow-moving stock.

Inventory Control and Stock Accuracy:

  • Carry out regular spot checks, cyclic counts and periodic stock-takes, and reconcile physical stock with records, investigating and reporting variances.
  • Maintain a register of obsolete, excess and slow-moving items and advise the Warehouse Coordinator for review and disposal.
  • Support the transition of inventory records from manual records to a structured system (SAP / HMIS), ensuring transactions are posted accurately and on time.

AGO and Lubricant Custody and Dispensing (Oiler Activity):

  • Hold custody of AGO, lubricants and related consumables at the site, including receipt, storage, decanting, labelling and stock-condition monitoring.
  • Dispense AGO and lubricants to generators, ambulances and other site equipment only against a valid voucher number issued through the Ostranet system, releasing no more than the authorised quantity into the authorised vehicle, equipment or container.
  • Record every dispensing transaction accurately in SAP and Ostranet, and reconcile SAP and Ostranet records with physical stock (tank dips/meter readings) and supplier deliveries, investigating and escalating discrepancies.
  • Apply safe-handling, fire-safety, storage and spill-control discipline, and manage used oil and empty containers for collection and disposal by approved service providers in line with HSE requirements.

Documentation, Records and Reporting:

  • Maintain warehouse forms and reference numbering in line with the extended Group SCM SOP set, keeping complete, traceable records for audit.
  • Prepare weekly and monthly reports on receipts, issues, stock balances and AGO / lubricant consumption by generator, ambulance and equipment for the Warehouse Coordinator.

Stock Security and Integrity:

  • Protect warehouse, AGO and lubricant stock against loss, theft, pilferage and unauthorised access, and escalate any suspected irregularity promptly.

Quality, Health, Safety & Environment:

  • Drive compliance with Occupational Health, Safety, Quality and Environmental policies, processes, procedures and applicable legal requirements across the Oilserv business.
  • Take responsibility for their own health & safety and that of stakeholders across the Oilserv business.
  • Any other duty that may be assigned.
