The Visitor Experience and Events Coordinator oversees all aspects of the Haggerty Museum of Art’s visitor experience including visitor reception, admission, orientation, and security. They serve as an advocate for the Museum’s visitor while simultaneously advancing and enforcing the Museum’s visitor policies. They manage all visitor traffic including visitors, groups, and staff appointments; hire and supervise student Gallery Attendants; coordinate logistical arrangements for events; and serve as the primary contact to external groups interested in renting the Museum’s space. Working Tuesday through Saturday, the Visitor Experience and Events Coordinator is the primary on-site Haggerty Museum of Art staff person on Saturdays.
Duties and Responsibilities

Welcome and effectively orient all Museum visitors – including general visitors, groups (academic, adult, and youth), and staff appointments following orientation policies and procedures developed and articulated by the Museum. Suggest policy and procedure revisions responding to visitor behavior, expectations, and feedback.

Hire, train, schedule, and supervise approximately twenty part-time student Gallery Attendants.

Perform opening and closing procedures for the Museum. Detect and report any unusual circumstances, unsafe conditions, building maintenance issues, security risks, property damage, etc. Monitor the Museum’s environmental readings, and promptly report fluctuations outside stated temperature and humidity parameters.

Sell Museum merchandise, memberships, and event tickets. Prepare and submit gift shop sales to Bursar’s Office.

Implement safety and security procedures developed by Campus Safety and the Haggerty Museum of Art, utilizing the panic button to summon Campus Safety in case of an emergency

Implement systems for attendance tracking, assessment, and data collection and analysis. Oversee the preparation of monthly, quarterly, and annual attendance and statistical reports.

Assist the Museum’s Event Associate with the planning and execution of Museum-sponsored events held at the Museum and, occasionally, at off-site locations. Help ensure event information is accurately reflected on the event calendar and communicated to all relevant staff. Execute event setup, including tables, chairs, A/V equipment, and other event items as needed. Determine staffing needs for events and recruit and schedule student gallery attendants as needed.

Serve as the primary contact person for individuals and organizations interesting in renting the Haggerty Museum of Art’s space for private events, and plan and coordinate logistical arrangements for those events. Ensure that Facility Rental Agreements are signed, that necessary furniture and a/v equipment is in place for the event, and that sufficient staffing will be in place during the event.

Help develop and administer visitor surveys. Develop and submit visitor survey reports.

Answer the Haggerty Museum of Art’s general telephone line and provide basic information to callers. Regularly monitor the Museum’s general email account and respond to inquiries appropriately or route them to the appropriate staff member.

Update online community and Marquette University calendars with the Haggerty Museum of Art’s exhibitions, programs, and special events. Contribute to the Museum’s social media accounts by contemporaneously sharing photos of activities taking place in the Museum.

Assist with set-up and tear-down for special events (tables, chair, podium, a/v, sound system, etc.). Coordinate day-of catering setup for special events.

Assist the Curator for Academic Engagement with class set-up and facilitation, including the set-up and configuration of computers, projectors, screens, etc.
Required Knowledge, Skills and Abilities
- Requires a high school degree
- Two years prior customer service experience, preferably in museum visitor services or retail, is required.
- Commitment to diversity and inclusion as key strategies toward broad-based institutional excellence, representing a range of perspectives, thought, and actions
- Strong cross-cultural competence
- Comfortable working and interacting with a diverse group of staff, donors, students, and community members
- Strong verbal and written communication skills, diplomacy and tact in dealing with sensitive situations
- Strong commitment to providing quality customer service
- Ability to exercise sound and mature judgment
- Ability to maintain strict confidentiality
- Ability to work independently
- Ability to remain alert at all times
- Working knowledge of computers, and audio visual and sound equipment
Preferred Knowledge, Skills and Abilities
- Conversational Spanish speaking, writing, and reading skills preferred
- Bachelor’s degree preferred.
- Interest and/or experience in museums preferred
- Experience supervising 10+ student employees
