Job title: Student Support Specialist
About the Role The Student Support Specialist works closely with WAU's Registrar Office and the Academy to optimize new student registration efficiencies, aligning efforts with Admissions/Enrollment. This exempt, full-time role reports to the AVP of Enrollment Management and serves as a key liaison for prospective and current students throughout transfer credit evaluation and degree planning.
What You'll Do
- Registers first-year and new transfer students into WAU with 90% efficiency.
- Makes contact with new students within 24 hours of deposit submission to advise on course selection.
- Reviews and evaluates transcripts and transfer credit-related documents from prior educational institutions; determines transfer coursework applicability and/or equivalency; authenticates documents; ensures accuracy of transfer student academic records.
- Reviews "Permission to Enroll" forms; researches and responds to inquiries related to transfer evaluation.
- Acts as a liaison for prospective students by assisting with all processes including registration, degree planning, and coordination between students and other departments.
- Provides comprehensive responses to student questions regarding transfer credit, transcripts, document tracking, and other records.
- Maintains mastery of WAU product knowledge, policies, procedures, and systems to guide prospective students effectively; knowledge of university agreements.
- Maintains general knowledge of other college/university policies and procedures including academic support and student activities.
- Engages in enrollment management training and continuously monitors enrollment processes at WAU.
- Recruits and advises prospective students using the CRM through in-person appointments, phone conversations, and email; assists current and prospective students with scheduling initial courses.
- Maintains a positive, professional, team-centered attitude; uses technology for word processing, record-keeping, instructional apps, electronic communication, and data management.
- Works outside assigned hours (evenings/weekends) as needed for recruitment events.
- Performs other duties as assigned.
What We're Looking For
- A minimum of a Bachelor's degree from an accredited institution OR an Associate's degree with at least 3 years of experience in sales, marketing, recruiting, or related activities; experience in sales, recruiting, or higher education preferred.
- Valid driver's license and ability to be insurable.
- Documented experience using educational technologies (word processing, spreadsheets, databases, presentation software such as Word, Excel, PowerPoint).
- Preference given to candidates with effective human relations skills, professionalism, enthusiasm, and commitment; excellent oral and written communication.
- Experience with a CRM system or related sales software; knowledge of current education and employment trends; knowledge of WAU mission/vision; knowledge of the SGPS program; knowledge of FERPA guidelines.
- Ability to search the internet for information; multitask and prioritize; maintain confidentiality; work with diverse backgrounds; communicate via email effectively.
- Ability to work with minimal supervision; operate professionally at all times; greet individuals with friendliness, tact, and courtesy; handle high-pressure situations calmly; conscientious, detail-focused, and flexible to meet customer needs.
Nice to Have
- Preference for candidates who demonstrate strong communication skills, CRM experience, and familiarity with WAU’s SGPS program and FERPA guidelines.
Compensation & Benefits
- Salary range: $55,000.00 - $60,000.00 per year.
- Benefits include WAU’s comprehensive package: health insurance, retirement contributions, tuition assistance, and paid leave. Final salary determined by qualifications, experience, and internal equity.
