Job Title: Store Officer

Job Purpose
- The Factory Store Officer is responsible for the effective management, custody, control, and documentation of materials and inventory within the assigned Hazoria factory.
- The role ensures the timely receipt, proper storage, issuance, tracking, reconciliation, and safeguarding of raw materials, packaging materials, consumables, spare parts, tools, work-in-progress materials, and finished goods, in accordance with approved procedures.
- The Factory Store Officer will work closely with Production, Procurement, Finance, Quality Assurance, Maintenance, and Logistics teams to ensure that the factory has the right materials available at the right time while maintaining high levels of inventory accuracy and minimizing wastage, losses, stock-outs, and obsolete inventory.
Key Responsibilities
Receiving & Inspection of Materials:
- Receive all raw materials, consumables, spare parts, packaging materials, tools, and other items delivered to the factory store.
- Verify quantities and descriptions against approved Purchase Orders, Goods Received Notes, delivery documents, and other relevant records.
- Inspect received materials for visible damage, shortages, incorrect specifications, or discrepancies.
- Liaise with Procurement, Quality Assurance, and relevant departments where received materials do not meet specifications.
- Ensure all received items are properly recorded, labelled, coded, and stored.
- Prepare and maintain accurate Goods Received documentation.
Store & Inventory Management:
- Maintain accurate records of all inventory held within the factory store.
- Ensure appropriate storage and identification of raw materials, consumables, spare parts, packaging materials, tools, and other inventory.
- Maintain bin cards, stock registers, ERP/system records, and other approved inventory records.
- Apply appropriate inventory rotation methods, including FIFO/FEFO, where applicable.
- Monitor minimum and maximum stock levels and promptly communicate potential stock shortages.
- Ensure proper segregation of usable, damaged, rejected, expired, obsolete, and quarantined materials.
- Maintain proper organization, cleanliness, and utilization of store and warehouse space.
Material Issuance to Production:
- Issue materials to Production only against properly authorized Material Requisitions or approved system requests.
- Ensure quantities issued correspond with approved production requirements.
- Record all stock issues accurately and promptly.
- Monitor material consumption against production requirements and highlight unusual variances.
- Receive and document unused or excess materials returned from Production.
- Ensure returned materials are inspected, properly recorded, and returned to their appropriate storage locations.
- Coordinate with Production to ensure availability of materials required for planned production schedules.
Spare Parts, Tools & Maintenance Materials:
- Maintain proper records of spare parts, engineering materials, tools, lubricants, consumables, and other maintenance-related inventory.
- Issue maintenance materials only against approved requisitions.
- Maintain records of high-value and critical spare parts.
- Monitor stock levels of critical maintenance items to minimize production downtime.
- Ensure unused spare parts and maintenance materials are properly returned and recorded.
- Support periodic verification of engineering and maintenance inventory.
Inventory Control & Reconciliation:
- Conduct regular cycle counts and physical stock counts as scheduled.
- Reconcile physical inventory against system and store records.
- Investigate and report stock shortages, excesses, damages, and unexplained variances.
- Prepare inventory variance reports for management review.
- Ensure all approved inventory adjustments are properly documented and authorized.
- Monitor slow-moving, non-moving, obsolete, damaged, and excess inventory.
- Support periodic stock audits conducted by Finance, Internal Control, Internal Audit, or external auditors.
- Maintain a high level of inventory accuracy across all categories.
Finished Goods & Dispatch Support:
- Where applicable, support the management of finished goods within the factory store/warehouse by:
- Receiving finished products from Production into the designated finished-goods area.
- Verifying quantities received against production records.
- Maintaining accurate finished-goods inventory records.
- Ensuring proper identification and segregation of finished goods.
- Supporting loading and dispatch activities based on approved dispatch documentation.
- Ensuring dispatched quantities are accurately recorded and reconciled.
- Reporting discrepancies between production output, warehouse receipts, and dispatch quantities.
Inventory Security & Loss Prevention:
- Maintain strict control over access to the store and inventory areas.
- Ensure no materials are released without proper authorization.
- Safeguard all inventory under the officer's custody.
- Monitor stock handling practices to minimize theft, pilferage, damage, and wastage.
- Immediately report suspected theft, fraud, unauthorized stock movement, or unexplained losses.
- Ensure high-value, sensitive, or easily pilferable materials are appropriately secured.
- Work with Security and Internal Control teams on inventory protection measures.
Documentation & Reporting:
- Maintain accurate and complete documentation for all stock movements.
- Ensure receipts, issues, transfers, returns, adjustments, and dispatches are recorded promptly.
- Prepare daily, weekly, and monthly store reports as required.
Provide reports on:
- Stock balances
- Stock shortages
- Stock variances
- Slow-moving and obsolete inventory
- Material consumption
- Damaged materials
- Critical stock items
- Finished goods
- Ensure store records are properly filed and readily available for audit and management review.
Production & Cross-Functional Coordination:
- Work closely with Production to understand material requirements and production schedules.
- Liaise with Procurement regarding expected deliveries and outstanding material requirements.
- Coordinate with Finance on inventory reconciliation and valuation-related information.
- Work with Quality Assurance on rejected, damaged, or non-conforming materials.
- Coordinate with Maintenance/Engineering on spare parts and technical materials.
- Work with Logistics on finished-goods movement and dispatch.
- Escalate any inventory issue that could affect production continuity.
Safety, Housekeeping & Compliance:
- Maintain a clean, organized, and safe store environment.
- Ensure materials are stacked and stored safely and appropriately.
- Observe all factory health, safety, environmental, and security procedures.
- Ensure appropriate PPE is used when working within production and warehouse areas.
- Maintain clear access routes and emergency exits.
- Ensure materials requiring special handling are stored and handled appropriately.
- Report unsafe conditions, incidents, or hazards immediately.
Process Improvement:
- Identify opportunities to improve inventory accuracy, store organization, material flow, and space utilization.
- Recommend measures to reduce wastage, stock losses, excess inventory, and obsolete materials.
- Support the implementation and improvement of Hazoria's inventory management and ERP systems.
- Contribute to the development and enforcement of standard operating procedures for store operations.
- Promote a culture of accountability, discipline, and proper inventory control.
Requirements
- OND, HND, or Bachelor's Degree in Supply Chain Management, Logistics, Purchasing & Supply, Accounting, Business Administration, Inventory Management, or a related discipline.
- 2–4 years' relevant experience in stores, inventory, warehouse, logistics, or supply chain operations.
- Experience within a manufacturing/factory environment is strongly preferred.
- Experience managing raw materials, consumables, spare parts, and/or finished goods will be an advantage.
- Previous experience in a multi-factory or high-volume manufacturing environment is desirable.
Technical Competencies:
The successful candidate should demonstrate:
- Strong knowledge of inventory and store management.
- Knowledge of warehouse receiving, storage, issuing, and dispatch processes.
- Ability to conduct physical stock counts and reconciliations.
- Understanding of FIFO/FEFO inventory principles.
- Strong numerical and record-keeping ability.
- Knowledge of stock variance investigation.
