Position Summary

Reporting to the Director, Advancement Communications and Stewardship, the Stewardship Associate supports the execution of donor stewardship activities that foster donor engagement, recognition, and accountability. Working collaboratively with Development, Annual Giving, Donor Experience, Advancement Communications, and campus partners, the position coordinates stewardship communications, scholarship reporting, donor recognition initiatives, and student engagement activities that demonstrate the impact of philanthropic support and support meaningful donor experiences.

Principal Accountabilities

35% Stewardship Communications & Donor Recognition

  • Coordinate recurring stewardship activities, including first-time donor acknowledgements, tribute and memorial gift stewardship, leadership society recognition, and other donor recognition initiatives.
  • Assist in the development and distribution of stewardship communications, donor impact reports, scholarship reports, stewardship correspondence, and related materials.
  • Partner with the Advancement Content & Stewardship team to maintain stewardship templates, recognition materials, and communication resources.
  • Monitor stewardship processes to ensure communications are accurate, timely, and aligned with donor recognition standards.

30% Student Engagement, Scholarship Reporting & Content Collection

  • Coordinate annual scholarship reporting and related stewardship activities for donors outside of Tier 1 and Tier 2 giving levels.
  • Coordinate annual scholarship reporting for donors outside of Tier 1 and Tier 2 giving levels.
  • Collect and manage student-generated content, including thank-you messages, testimonials, photos, and stories, for use in scholarship reports and stewardship communications.
  • Coordinate student participation in stewardship initiatives, including Thank a Donor Day and other donor gratitude programs.

25% Stewardship Events & Program Support

  • Coordinate stewardship-focused events and engagement opportunities, including donor recognition activities, scholarship events, and donor-student engagement programs.
  • Lead the planning and execution of donor gratitude initiatives, including Thank-a-Donor programs and similar stewardship activities.
  • Partner with Donor Experience and Development colleagues to support stewardship components of donor events and recognition programs.
  • Assist with stewardship initiatives supporting annual donors, leadership donors, scholarship donors, athletics supporters, and other key donor constituencies.

10% Administrative Support & Collaboration

  • Maintain stewardship tracking systems, reports, and related records within the Advancement CRM.
  • Collaborate with colleagues across University Advancement to support consistent donor stewardship, impact reporting, and recognition efforts.

Qualifications

  • Bachelor’s degree and 2-4 years of relevant professional experience, or an equivalent combination of education and experience. Higher education experience preferred. Strong organizational, communication, project management, and relationship-building skills are required. Proficiency in Microsoft Office applications is required; experience with fundraising databases and CRM systems is preferred. Flexibility to work occasional evenings and weekends may be required.
