Robert Half – Staff Accountant

We are looking for a Staff Accountant to support the organization’s financial activities and help maintain accurate, compliant accounting practices in Ventura, California. This position plays a key role in day-to-day accounting, multi-fund financial tracking, payroll administration across varied employee groups, and the preparation of reports for leadership and board review. The successful candidate will bring strong nonprofit accounting knowledge, a careful approach to compliance, and the ability to partner effectively with internal stakeholders and external advisors.

Responsibilities

• Oversee routine accounting activity by processing payables and receivables, posting journal entries, recording deposits, and completing account and bank reconciliations.
• Track incoming revenue and expenses across multiple funds while maintaining accurate balances for prepaid items, deferred income, cash accounts, and other key ledger categories.
• Administer payroll for salaried, hourly, seasonal, union, and contract workers, ensuring accurate wage calculations, time review, and related accrual entries.
• Prepare and submit union-related payments, including dues, benefit contributions, pension obligations, and health plan remittances in accordance with applicable requirements.
• Produce monthly financial statements, board-facing reporting, and ad hoc analyses to support informed decision-making by leadership.
• Reconcile operational activity such as concession revenue, petty cash, and inventory records to support complete and reliable financial reporting.
• Support annual audit readiness by assembling schedules, maintaining documentation, coordinating with external auditors, and assisting with workers’ compensation audit needs.
• Complete required filings and compliance tasks, including 1099 reporting, business license renewals, workers’ compensation reports, and other regulatory submissions.
• Help maintain sound internal controls, monitor financial procedures, manage insurance renewals and claims, and serve as a financial contact for vendors and payroll-related HR matters.
• Partner with the retiring accountant during the onboarding period to ensure effective knowledge transfer and continuity of accounting operations.

Qualifications

• Bachelor’s degree in Accounting or a closely related discipline.

• At least 3 years of progressive accounting experience, preferably in a nonprofit environment.

• Demonstrated background in multi-fund nonprofit accounting and financial recordkeeping.

• Hands-on experience supporting payroll administration, including union payroll processes and related reporting.

• Familiarity with audit preparation, compliance documentation, and recurring regulatory filings.

• Proficiency with QuickBooks and Microsoft Excel for financial management and reporting.

• Solid understanding of general ledger activity, journal entries, reconciliations, accruals, and donation tracking.

• Strong organizational, analytical, and communication skills with a high level of accuracy and accountability.
