About this role
Job Description
Who will you be working with?
You will work within Wabtec's Corporate Solutions organization as part of the Software Asset Management (SAM) function. You will partner closely with business requestors, application owners, Strategic Sourcing, Procurement, Finance, Accounts Payable, IT service management, cybersecurity, audit and compliance teams, and regional IT stakeholders. You will also collaborate with software publishers, resellers, service providers, and the Flexera platform team to support the complete software asset lifecycle.
This analyst role combines day-to-day operational ownership with process improvement. You will serve as a key point of contact for software requests, licensing, procurement, renewals, catalog administration, vendor portal activities, reporting, and issue resolution while helping mature SAM governance, controls, data quality, and automation.
How will you make a difference?
· Own the end-to-end Software Request process managed in ServiceNow, from intake and validation through approvals, fulfillment, status of communication, and closure.
· Administer software licensing and entitlement activities in Flexera, partnering with the Flexera platform team to improve data quality, inventory coverage, integrations, reporting, and platform effectiveness.
· Coordinate software purchasing activities in Coupa, including requisition creation, purchase order processing, receipt confirmation, and invoice issue resolution in partnership with Procurement, Finance, Accounts Payable, vendors, and requestors.
· Lead operational execution of the SAM renewal process by maintaining the renewal calendar, confirming demand and ownership, validating license positions, coordinating quotes and approvals, and reducing the risk of service interruption or unplanned spend.
· Maintain an accurate, usable software catalog and improve standardization by identifying duplicate, obsolete, unsupported, underused, or nonstrategic software products.
· Reduce software sprawl and improve the organization's area of control through rationalization, reclamation, reuse, standardization, lifecycle governance, and stronger ownership of software assets.
· Produce metrics and actionable insights that improve cost transparency, license compliance, request performance, renewal readiness, data quality, and process maturity.
What do we want to know about you?
You must have:
· Bachelor's degree in information systems, business, finance, supply chain, technology, or a related discipline, or equivalent relevant experience.
· Experience supporting Software Asset Management, IT Asset Management, software licensing, procurement, vendor management, or technology operations in an enterprise environment.
· Working knowledge of the software asset lifecycle, including request, approval, procurement, entitlement, deployment, assignment, renewal, reclamation, retirement, and disposal processes.
· Experience managing service requests or workflows in ServiceNow or a comparable enterprise service management platform.
· Experience with software license management, entitlement records, inventory, usage, compliance positions, or optimization activities in Flexera or a comparable SAM platform.
· Experience creating purchase requisitions and supporting purchase orders, receipts, and invoice resolution in Coupa or a comparable procurement platform.
· Ability to interpret software quotes, order documentation, licensing terms, maintenance or subscription periods, quantities, SKUs, and renewal information.
· Strong analytical and organizational skills, with the ability to reconcile information across requests, contracts, purchase records, invoices, entitlement data, discovery data, and vendor portals.
· Ability to manage a high volume of requests and renewals, prioritize competing deadlines, follow through on open actions, and communicate risks early.
· Strong written and verbal communication skills and the ability to work effectively with technical teams, business stakeholders, sourcing professionals, finance partners, and vendors.
· Demonstrated attention to detail, data quality, documentation, and control execution.
· Ability to identify root causes, improve workflows, create repeatable procedures, and measure operational outcomes.
· Must be able and willing to travel as needed, typically less than 10%.
We would love it if you had:
· Experience with Flexera One, ServiceNow Software Asset Management, Coupa, or integrated SAM and procurement ecosystems.
· Knowledge of publisher-specific licensing and administration practices for major enterprise software vendors and cloud subscription providers.
· Experience administering publisher portals, assigning licenses, managing user access, and maintaining entitlement documentation.
· Experience developing or reviewing Effective License Positions, compliance analyses, true-up support, or software optimization recommendations.
· Experience with software normalization, recognition, inventory, application evidence, discovery sources, SaaS management, or license consumption rules.
· Experience supporting mergers, acquisitions, divestitures, or large-scale software portfolio assessments.
· Knowledge of ITIL, ISO/IEC 19770, audit, SOX, cybersecurity, data privacy, or technology control frameworks.
· Professional certifications such as CSAM, CHAMP, ITIL, Flexera certification, ServiceNow certification, or relevant procurement credentials.
· Experience building operational dashboards, KPIs, control evidence, standard operating procedures, and executive-ready reporting.
· Experience with process automation, workflow design, continuous improvement, or Agile ways of working.
What will your typical day look like?
· Review the ServiceNow Software Request queue, validate request completeness, confirm business and technical ownership, route approvals, coordinate fulfillment, and keep requestors informed.
· Maintain the software catalog in ServiceNow, including product descriptions, request options, approval paths, fulfillment instructions, ownership, support details, and lifecycle status.
· Work in Flexera to review software inventory, entitlements, allocations, consumption, usage, and exceptions; partner with the Flexera platform team to resolve data, connector, recognition, or reporting issues.
· Create Coupa requisitions with accurate supplier, quote, accounting, cost center, quantity, term, and supporting documentation; monitor purchase order creation and delivery status.
· Complete or coordinate receiving activities, investigate invoice and PO mismatches, and work with requestors, vendors, Procurement, Finance, and Accounts Payable to resolve exceptions.
· Maintain the software renewal pipeline; confirm owners, demand, usage, contract dates, pricing, quantities, funding, sourcing strategy, approvals, and purchase milestones.
· Engage software publishers and resellers to obtain quotes, clarify licensing or renewal terms, resolve portal issues, and secure license or subscription delivery information.
· Administer license assignments and access in publisher portals, maintain entitlement documentation, and support license transfers, reclaim activities, and user changes.
· Identify unused or underutilized licenses and coordinate reclamation, reuse, reduction, or cancellation opportunities before new purchases or renewals.
· Analyze the portfolio for duplicate products, unmanaged software, nonstandard tools, shelfware, fragmented buying, unsupported versions, and products without clear ownership.
· Support software rationalization and sprawl-reduction initiatives by documenting alternatives, validating usage, engaging owners, and tracking retirement or consolidation actions.
· Coordinate software packaging and deployment needs with endpoint, application packaging, security, and support teams.
· Serve as a primary contact for software request, licensing, procurement, assignment, renewal, and asset management inquiries received through approved support channels.
· Support software assessments for mergers and acquisitions by collecting product, ownership, licensing, contract, usage, risk, and renewal information.
· Publish monthly SAM metrics and weekly operational updates covering request volume and aging, renewals, procurement status, license optimization, catalog health, exceptions, risks, and upcoming priorities.
· Maintain procedures, control evidence, process maps, RACI documentation, knowledge articles, and audit-ready records for critical SAM activities.
· Drive continuous improvement by identifying control gaps, reducing manual handoffs, strengthening data quality, clarifying accountability, and proposing workflow automation.
· Partner with SAM leadership to advance process maturity, define service levels and KPIs, improve the area of control, and demonstrate measurable business value.
Key outcomes for this role
· Timely, transparent, and well-controlled software request fulfillment.
· Accurate software catalog, licensing, entitlement, procurement, and renewal records.
· Improved renewal readiness and fewer avoidable service interruptions or urgent purchases.
· Greater reuse and reclamation of existing licenses before incremental spend.
· Reduced software sprawl through standardization, rationalization, and retirement of redundant products.
· Improved auditability, control execution, documentation, data quality, and ownership across the software lifecycle.
· Clear metrics that show operational performance, cost optimization, compliance exposure, and SAM maturity progress.
What about the physical demands of the job?
· Regularly remaining in a stationary position, often standing or sitting for prolonged periods.
· Regularly communicating with others to exchange information and facilitate technical and business decisions.
· Regularly attending meetings in person and virtually using video, audio, and computer equipment.
· Regularly repeating motions that may include the wrists, hands, and fingers, such as typing.
· Occasionally moving about to accomplish tasks or moving from one worksite to another.
· Occasionally performing light work that includes moving objects up to 20 pounds.

· The employee will normally work in a temperature-controlled office environment with frequent exposure to electronic office equipment. During visits to operational areas, the employee may be exposed to hot or cold conditions, fumes or airborne particles, chemicals, and elevated noise.
