Job title: Short Term Rental Controller / Administrative Assistant

About the Role The purpose of this position is to ensure general administrative duties for the branch and to perform the short term rental (STR) controller function, supporting the rental manager to uphold best practices, meet performance targets, service delivery objectives, and align with the company's strategic vision.

What You'll Do

  • Ensure STR achieves predetermined targets and budget
  • Ensure quality of customer interaction and drive service excellence
  • Communicate with customers, develop partnerships and provide tailored solutions for clients
  • Telesales and maintenance of records / quotes register / prospects
  • Weekly and monthly reporting of stock count and utilisation
  • Prepare refinance and defleet documentation
  • Reserve, arrange delivery and collection of short-term fleet units; schedule trips daily
  • Plan and allocate trips; manage invoicing pertaining to transport
  • Ensure all documentation for forklift delivery is accurate, complete and properly authorised (credit applications, signed contracts, terms, customer orders)
  • Invoicing of daily, weekly and monthly rental including excess hours
  • Liaise with debtors regarding accounts for new and existing customers
  • Ensure machines at customer have valid load test certificates
  • Communicate with workshop re. preparation of machines prior to delivery (load test, service, attachments, chargers etc)
  • Facilitate customer complaints and queries; ensure it is followed through and communicate process / result to customers
  • Foster dedication to service excellence in every aspect of work carried out; ensure timely feedback / communication to customers
  • General assistance to manager as and when required

What We're Looking For

  • Grade 12 / Matric + minimum of 3 years relevant experience
  • Advanced / Expert computer literacy in MS Outlook, Word, and Excel
  • Understanding and working knowledge of Kerridge system – must be able to load information and draw reports
  • Experience in fleet management
  • Knowledge of principles and processes for providing customer and personal services (customer needs assessment, meeting quality standards, evaluating customer satisfaction)
  • Knowledge of quality control processes, costs, and other techniques for maximizing effective storage and distribution of products (equipment and parts)

Nice to Have

  • Experience working on the Kerridge system
  • Maintaining/updating information on databases
  • Additional fleet management related experience
