About the Role
The primary purpose of this role is to support the equipment costing process and prepare accurate shipping reports for equipment imported into the business. The role manages and reconciles supplier accounts, ensuring compliance with best practices and alignment with the company’s strategic objectives. It also involves collaborating with other divisions to achieve targets, optimizing operational efficiency, and overseeing Shared Services shipping operations to meet performance standards.
What You'll Do
- Accurately prepare actual costings for equipment and parts using information from freight forwarders to ensure proper financial tracking and reporting.
- Maintain up-to-date shipping registers for all imported equipment and parts.
- Reconcile local and foreign creditors' accounts between supplier statements and the ERP balances.
- Reconcile goods in transit accounts.
- Prepare and load month-end and other ad hoc payments for foreign creditor accounts.
- Liaise with freight forwarding partners to ensure timely and compliant movement of goods and resolve logistical issues.
- Prepare journals for loan movements related to OEM payments processed on behalf of various entities.
- Prepare month-end accrual journals for shipping creditors.
- Perform monthly revaluations of FEC.
- Compile and process letters of credit with the relevant approving authority, liaising with the foreign OEM for required information and terms.
- Update and communicate daily foreign exchange rates for the business.
- Use the Treasury Management System for foreign invoices and management of forward exchange cover.
- Assist the Treasury Manager with timely information, reconciliations and documentation.
- Assist with audit queries.
What We're Looking For
- Education: Grade 12; Certificate or Diploma in Shipping/Freight Forwarding, Accounting or Bookkeeping/Finance or similar.
- Experience: Shipping/import documentation and resolving shipping discrepancies; preparation of creditors reconciliations; general accounting/bookkeeping; loading foreign payments on online banking platforms.
- Knowledge: Knowledge of shipping regulations, customs compliance, bills of lading, shipping labels; import payments regulations and documentation.
- Required Skills: Attention to detail; problem-solving mindset; team player; proactive; clear written and verbal communication; proficient in Microsoft Excel and Outlook; experience using ERP systems; English language proficiency.
