WHY THIS ROLE IS IMPORTANT TO US

We are seeking a Senior Operational Excellence Specialist to join the Operational Excellence function within SimCorp Managed Business Services (SMBS). Operational Excellence exists to redesign how work gets done across SMBS — process design, documentation, governance, and performance measurement — so the business can absorb growth in clients, scope, and volume without growing headcount at the same rate.

This role exists to support Operational Excellence leadership, including the Principal Operational Excellence Specialist, across the full breadth of the function's priorities: owning defined areas of the documentation and process landscape and keeping them accurate and current, leading process improvement and redesign work within agreed scope, driving the implementation of AI-driven and scaling initiatives, and running the governance forums and working sessions that keep all of this moving. Operational Excellence leadership sets direction and priorities; you deliver, measure and report on results.

You will work closely with subject-matter experts and stakeholders across Data Management, Investment Operations, and Investment Accounting — gathering accurate input, coordinating activity, and helping translate operational detail into clear documentation and workable process improvements.

Your value is in running things independently once direction is set: gathering the right input, shaping it into clear documentation or process improvements, and keeping initiatives and meetings on track without needing close supervision. You will act as a trusted partner to Operational Excellence leadership and to operational leaders — someone who can take a priority, make it move, and bring good judgement to how it gets done, and who guides more junior colleagues on documentation and process standards.

WHAT YOU WILL BE RESPONSIBLE FOR

In your daily work, you will:

  • Own and continuously improve the SMBS documentation and process landscape for your assigned service areas, applying agreed standards, version control and review cycles, so that it remains accurate, current, and structured as a reliable single source of truth.

  • Produce and update structured process documentation — service descriptions, process maps, SOPs, and related artefacts — in partnership with operational teams.

  • Gather and validate input for document production and process improvement work by coordinating directly with subject-matter experts and operational teams.

  • Lead process improvement and (re)design within agreed scope — analysing current-state processes, quantifying inefficiencies against baseline data (e.g. volumes, cycle time, effort, error rates), and shaping practical, implementable improvements through to adoption.

  • Define and track operational KPIs and benefits (e.g. capacity released, cycle time, quality, SLA adherence) for improvement and scaling initiatives, and report progress to Operational Excellence leadership and the Steering Committee.

  • Embed control, risk and quality requirements (e.g. alignment with SMBS control frameworks and audit expectations) into process design and documentation.

  • Support Operational Excellence leadership in identifying, assessing and prioritising AI and scaling initiatives — structuring use cases and business cases, tracking status, and keeping initiatives aligned with agreed priorities.

  • Coordinate the implementation of AI and automation initiatives — tracking progress, flagging risks, escalating blockers, and ensuring process, control and documentation changes are in place before go-live.

  • Drive adoption of new and changed processes with operational teams through communication, training and handover.

  • Organise and independently facilitate Steering Committee (STC) meetings and other working sessions — preparing agendas and materials, driving discussion, capturing decisions and actions, and following up to ensure momentum is maintained.

  • Act as a consistent, trusted point of contact for stakeholders and SMEs, building strong working relationships that make it easy to gather input quickly.

  • Flexibly support Operational Excellence leadership's other priorities as they evolve — reflecting the current scale of the function and the breadth of initiatives it covers. WHAT WE VALUE

  • 3-5 years of experience in process improvement, business analysis, process documentation, or project/programme coordination, within financial services, investment operations or managed/outsourced services, with a track record of delivering outcomes end to end.

  • Solid understanding of front-to-back investment management operations, in particular Data Management, Investment Operations and Investment Accounting (e.g. trade lifecycle, reconciliations, valuation, corporate actions), and of how managed services are delivered, governed and measured through SLAs and KPIs.

  • Awareness of risk, control and quality frameworks in regulated financial and the discretion to handle confidential client information.

  • Experience with process mapping and design methods (e.g. BPMN or equivalent, using tools such as Visio), and the ability to translate a current-state process into a clear, improved target state.

  • An analytical, diagnostic mindset — able to use data and root-cause analysis to identify why a process is inefficient, quantify the opportunity, and propose practical improvements, not only document what already exists.

  • Experience defining process metrics and KPIs and tracking benefits realisation against a baseline.

  • Strong, independent meeting facilitation skills — able to prepare for and run structured working sessions with SMEs and senior stakeholders, and drive discussions to a clear outcome.

  • Strong written communication skills, with experience producing clear, structured process documentation.

  • Proven ability to influence and drive change across multiple teams and stakeholders without formal authority over their work, including constructively challenging SMEs and managing resistance.

  • Working knowledge of AI and automation concepts (e.g. workflow automation, RPA, generative AI), including how to assess use-case suitability, benefits and risks such as data privacy, controls and human oversight, sufficient to meaningfully support prioritisation and coordination conversations — deep technical AI expertise is not required.

  • Familiarity with documentation/knowledge-management platforms and coordination or tracking tools (e.g. SharePoint, monday.com, or similar), and strong Excel and PowerPoint skills; exposure to Power BI or similar reporting tools is helpful.

  • Formal training or certification in Lean, Six Sigma (e.g. Yellow or Green Belt), or another structured process-improvement methodology is strongly preferred.

  • Highly organised and reliable, comfortable managing several concurrent workstreams in a fast-moving environment.

  • Professional fluency in written and spoken English, and comfortable working in an international, cross-functional environment.
