Job Summary
The Senior Operations Representative – Solar & Power Plant is responsible for coordinating the operational and non-technical aspects of projects across the Solar & Power Plant segment.
The position serves as a central coordination point among clients, project managers, engineers, sales, subcontractors, laboratories, finance, and other internal and external stakeholders to support efficient project execution from project initiation through completion and invoicing.
The Senior Operations Representative independently manages multiple concurrent project workflows, monitors schedules and commercial milestones, coordinates resources and project documentation, supports customer communication, and ensures that administrative and operational requirements are completed accurately and on time.
This position supports both domestic and international projects and works closely with the Segment Manager and technical project teams.
Job Description
- Coordinate the operational and non-technical aspects of multiple Solar and Power Plant projects throughout the full project lifecycle, from project initiation through project completion and invoicing.
- Serve as a primary coordination point among clients, project managers, engineers, sales personnel, laboratories, subcontractors, finance, and other internal and external stakeholders.
- Establish new projects in applicable company systems and ensure that project information, contractual documentation, schedules, milestones, resource assignments, and commercial information are maintained accurately and updated in a timely manner.
- Coordinate project schedules, internal and external resources, meetings, deliverables, client requirements, and other operational activities necessary to support successful project execution.
- Monitor project status, key milestones, deadlines, deliverables, budgets, and outstanding actions, and proactively follow up with responsible parties to help keep projects on schedule.
- Coordinate with technical teams regarding resource availability, field assignments, laboratory testing, project schedules, and delivery requirements without assuming responsibility for technical decisions or technical conclusions.
- Support the coordination of domestic and international field projects, including scheduling, logistics, subcontractor coordination, documentation, and other project-related operational requirements.
- Maintain regular communication with clients regarding project schedules, project status, documentation requirements, deliverables, and other non-technical project matters.
- Identify scheduling, administrative, commercial, or coordination issues that could affect project delivery and escalate significant risks or delays to the appropriate project manager or Segment Manager.
- Coordinate project documentation and maintain complete and accurate project records in accordance with company procedures and applicable quality requirements.
- Support preparation, processing, and tracking of purchase orders, subcontractor documentation, internal work orders, project changes, and other commercial or administrative documentation.
- Coordinate project billing activities, including monitoring project completion and billing milestones, preparing required billing information, and working with Finance and project teams to support timely and accurate invoicing.
- Follow up on outstanding commercial or administrative matters, including purchase orders, invoice questions, accounts receivable issues, and other client or project documentation as required.
- Maintain and analyze project pipeline and operational data and prepare regular reports for management, including project status, workload, revenue forecasts, billing status, backlog, and other relevant operational indicators.
- Support resource planning and workload coordination across the Solar & Power Plant segment by maintaining visibility of active and upcoming projects and anticipated resource requirements.
- Coordinate with TÜV Rheinland's global laboratories, technical teams, and other regional organizations when projects require international resources or cross-border project execution.
- Support the onboarding and operational coordination of qualified subcontractors and external resources used for project delivery.
Education

University Degree in Business Administration or equivalent work experience

Work Experience
-
Minimum of three (3) years of relevant professional experience in project coordination, project operations, business operations, project administration, or a related function.

Experience coordinating multiple projects simultaneously and working with cross-functional teams is required.

Experience in testing, inspection and certification (TIC), engineering services, renewable energy, power generation, construction, professional services, or another project-based technical industry is preferred.

Experience supporting international projects or coordinating resources across multiple locations or countries is preferred.

Experience with project financial administration, including project budgets, invoicing, revenue forecasting, purchase orders, or accounts receivable coordination, is preferred.
