The Senior Dental Informatics Process Analyst leads analysis and improvement of clinical, administrative, and imaging workflows across the university’s dental clinics. The analyst conducts deep discovery and process mapping, identifies opportunities for efficiency, patient safety, and quality of care, and translates operational needs into clear, testable requirements. This role partners closely with technical teams—who own configuration and development—to ensure the right changes are implemented in aXium, MiPACS, Dolphin, and related dental systems.
This position is highly collaborative with clinic leads, faculty, staff, residents, and students, and requires hands-on familiarity with aXium workflows in academic dental environments. The analyst owns the lifecycle from discovery → requirements → solution validation (UAT) → training & adoption, while technical teams perform the actual system configuration, build, and deployment.
Duties and Responsibilities
- Conduct in-clinic observations (including chairside shadowing) to understand real-world clinical, administrative, and imaging workflows.
- Map current-state processes, swimlanes, decision points, and pain points across aXium, MiPACS, Dolphin, and related systems. Identify variation by clinic/service line and uncover root causes of inefficiency, safety risks, and quality gaps.
- Facilitate requirements sessions with clinic leadership, faculty, students, staff and administrators. Produce BA deliverables: problem statements, use cases, user stories with acceptance criteria, process maps, future-state designs, RACI, and impact assessments. Define what should change (not how to configure it) in aXium and imaging systems; specify data, workflow, usability, and integration needs and prioritize changes based on measurable impact (efficiency, safety, quality-of-care, compliance). Occasional early-morning or after-hours support for launches and testing.
- Partner with developers, analysts, and system admins who perform configuration (e.g., aXium forms/templates, roles, schedules, imaging workflows, device integrations). Review solution options and risks; ensure alignment with requirements, clinic operations, and standards.
- Coordinate with vendors as needed (e.g., MiPACS, Dolphin) for feasibility and best practices.
- Create test plans and UAT scripts covering clinical and imaging workflows end-to-end. Lead UAT with clinic SMEs and students; log defects and confirm remediation prior to release. Validate safety, quality, and regulatory considerations before deployment.
- Develop role-based training materials, quick reference guides, and workflow instructions.
- Deliver training to faculty, residents, students, and staff; provide go-live support. Monitor early adoption; collect feedback and drive iterative improvements.
- Present proposals and findings to informatics/clinic governance bodies. Maintain stakeholder alignment and manage competing priorities through transparent communication and support change readiness and adoption strategies tailored to academic dental settings.
- Maintain an organized repository of current/future-state process maps, requirements, decisions, and test artifacts. Create clear SOPs and clinic-facing documentation to ensure process consistency and student support.
Required Knowledge, Skills and Abilities
Progressive experience in business analysis or workflow/process optimization. Demonstrated ability to produce BA artifacts (process maps, user stories, acceptance criteria, test plans). Excellent facilitation, communication, and stakeholder management skills across technical and clinical audiences.
Core Competencies:
- Process Improvement Mindset
- Analytical Rigor
- Stakeholder Facilitation
- Attention to Detail
- Change Management & Communication
- User-Centered Design
- Testing Discipline
Preferred Knowledge, Skills and Abilities
Experience in academic dental clinics or educational clinical environments. Knowledge of clinical quality, patient safety, and compliance considerations. Proficiency with process mapping tools (Visio, Lucidchart, Miro). Exposure to analytics/reporting (Power BI, SQL, Crystal) helpful but not required. Experience developing and delivering training for diverse user groups.
Experience in clinical informatics or dental operations.
Hands on aXium experience with strong understanding of academic dental workflows. Familiarity with MiPACS, Dolphin, and dental imaging workflows (e.g., radiography, CBCT, sensors).
