About the Role The Senior Administrative Specialist supports a university administrator by performing non-routine administrative tasks, interpreting policies, and providing general secretarial and office management support. The role includes budget monitoring, personnel coordination, and liaison duties, with leadership responsibilities over student workers. What You'll Do
- Autonomously perform non-routine administrative tasks, formulate decisions applying policies to situations, and prepare correspondence or reports.
- Facilitate office operations, respond to correspondence, assist in budget development, monitor spending, and perform transfers as needed.
- Manage budgets and fiscal records, process bills/invoices, and reconcile procurement transactions.
- Perform personnel functions (screen applicants, participate in interviews), process new hire paperwork, and maintain employee records.
- Supervise student office support staff, coordinate workflow, and participate in training/evaluation.
- Provide information to administrators and the public; handle inquiries, public relations, and special projects.
- Set up office procedures, manage daily workflows, and maintain files/records.
- Prepare drafts, reports, memos, and presentations; assist with conference organization. What We're Looking For
- Extensive knowledge of administrative policies and procedures, and clerical functions.
- Ability to interpret policies and apply them to varied situations; strong problem-solving and decision-making skills.
- Experience with budgeting, fiscal management, transfers, procurement systems, and financial records.
- Experience in personnel functions (recruitment, onboarding) and processing employment documents.
- Experience supervising student staff or junior personnel; ability to train/evaluate.
- Strong written and oral communication; ability to prepare reports, correspondence, and presentations.
- Proficiency with office automation and data compilation; ability to research and summarize information.
- Ability to work with confidential information and handle inquiries with discretion.
- Strong organizational skills and ability to coordinate multiple tasks and projects. Nice to Have
- Experience processing academic overrides and new hire paperwork for part-time faculty or other employment groups.
- Familiarity with procurement systems, budgeting software, and committee work.
- Experience in public relations, event planning, and report writing.
