Job title: Senior Administrative Assistant
About the Role Senior administrative role supporting the administrator’s office on campus. The position autonomously handles non-routine tasks, interprets policies, and helps manage budgets, personnel records, and office operations. It may supervise student staff and serve as a liaison with internal stakeholders.
What You'll Do
- Autonomously performs non-routine administrative tasks and interprets policies to resolve problems, prepare correspondence, and generate reports as needed.
- Lead worker for lower-level personnel; supports office automation; handles correspondence, budget data, budget justification, spending monitoring, and fiscal record-keeping; reviews and summarizes fiscal, operational, and personnel reports; supports personnel processes including screening applicants and interviews; participates in committees and conferences.
- Process academic overrides and compile new hire paperwork for part-time faculty and other employment groups; maintain employee records as required.
- Relieve supervisor of routine duties; provide recommendations and technical information to aid decision making; assist in developing new procedures; act as liaison between administrator and subordinates; represent administrator at meetings and conferences.
- Manage business functions of the administrator's office; monitor budgets and transfer funds as directed; process bills/invoices; purchase supplies and equipment; maintain fiscal and personnel records; coordinate daily workflow and supervise student staff.
- Perform public relations tasks; respond to inquiries; explain programs; assist with special events; prepare reports, publications, memos, and presentations for external distribution.
- Provide secretarial support including drafting simple correspondence, data compilation, and scheduling; set up office procedures; coordinate daily workflow; supervise and train student staff.
- Produce typed copy and proofreading; maintain files and handle mail; answer phones; greet visitors; manage calendars and travel arrangements.
What We're Looking For
- Extensive knowledge of administrative policies and procedures; ability to interpret policy and make decisions in varied situations.
- Ability to work with minimal supervision on non-routine tasks; strong written and oral communication skills; ability to explain services or activities clearly.
- Experience with budgeting, procurement, and maintaining fiscal and personnel records; ability to monitor spending and perform budget transfers as needed.
- Experience supervising student office staff and coordinating workflows; ability to supervise, train, and evaluate staff; strong organizational and multitasking abilities.
- Familiarity with academic and business unit operations; ability to process academic overrides and handle faculty/new hire paperwork.
- Strong public relations skills and ability to liaise with administrators, faculty, and public.
