About this role

About the Role CRFS is seeking a Sales Office Administrator who will report to the US Sales Operations Director on the US Sales team. The successful candidate will serve as the operational backbone of the US admin function—managing order processing, CRM administration, and customer communications—to ensure a seamless sales process and high customer satisfaction. What You'll Do

  • Process sales orders via email or phone, ensuring data integrity and timely fulfillment.
  • Generate and send invoices to end customers; verify data accuracy and maintain up-to-date customer records.
  • Operate, update, and manage user access on company web portals; fill out, submit, and track electronic or paper forms.
  • Provide high-quality inside sales support to the US sales team; act as liaison between sales, customers, and logistics partners.
  • Maintain and update CRM records; follow up with new contacts and reactivate cold contacts to generate and nurture leads; support lead generation and conversion with data analytics.
  • Serve as the primary point of contact for shipping and logistics to ensure timely and accurate delivery.
  • Assist with trade show and industry conference preparation and coordination.
  • Handle post-sale inquiries, returns, and warranty issues; maintain high customer satisfaction.
  • Travel occasionally (up to ~10%) to support trade shows and customer meetings. What We're Looking For
  • Minimum Education: High school diploma; Minimum Experience: 1–3 years in sales support, customer service, or an administrative role.
  • Required Skills: Proficiency in CRM platforms (Salesforce, HubSpot, or equivalent) and Microsoft Office Suite; excellent verbal and written communication; strong organizational skills and ability to manage multiple tasks; high attention to detail and data accuracy.
  • Training/Certifications/Licences: None required; CRM or business administration certifications are a plus.
  • Citizenship: Must be a U.S. Citizen due to clients under U.S. government contracts.
  • Travel: Occasional domestic travel up to 10%. Nice to Have
  • Bachelor’s degree in Business Administration, Communications, or related field.
  • Experience supporting B2B or technology sales teams, especially in technical or government-adjacent contexts.
  • Familiarity with Salesforce or HubSpot; experience using data analytics for reporting or pipeline management.
  • Experience coordinating logistics or working with shipping/freight partners; familiarity with trade show coordination is a plus. Compensation & Benefits
