About the Role The Receptionist serves as the first point of contact at the assigned resource center, handling front-desk duties, intake and scheduling for program services. This role supports applicants and clients by explaining agency programs, gathering information, and coordinating intake and appointment processes. What You'll Do
- Meet and greet the general public; provide general information about programs; direct visitors to the appropriate office.
- Answer a high volume of incoming calls, route callers, and take messages as needed; manage the agency's main line when necessary.
- Greet clients for interviews, confirm appointments, and distribute relevant handouts while they wait.
- Prepare applicants by discussing household income and information needed to determine eligibility at the time of appointment.
- Schedule appointments, confirm with clients the day before, and reschedule no-shows as needed.
- Schedule and assist clients filling out mail-in application forms.
- Learn and use the FAP/EAP software proficiently.
- Mail any required forms and appointment letters to clients.
- Share client information with intake clerks as appropriate; print prior year applications and appointment letters when needed.
- Update client status in the FAP/EAP software when appointments are missed (no-shows).
- Contact clients due for EAP recertification and help schedule appointments.
- Learn rules and procedures for all energy programs to explain them to clients.
- Complete High Priority Sheets for energy emergencies according to guidelines.
- Maintain a log of all appointments and prepare weekly reports.
- Handle fax machine and distribute faxes; monitor fax and copier supplies.
- Perform clerical duties as needed and participate in outreach, by phone or in the field.
- Be available for evening and Saturday hours when necessary; cover other Resource Center offices in Hillsborough or Rockingham Counties as needed. What We're Looking For

- Professional demeanor, clear verbal communication, and good phone etiquette.
- Ability to manage a high volume of calls and multi-task across reception, intake, and scheduling tasks.
- Experience or ability to learn FAP/EAP software; data entry and basic clerical skills.
- Detail-oriented, organized, and able to maintain logs and reports; willingness to outreach and cover other offices as needed.
- Flexibility to work evenings and Saturdays and to travel between Resource Center locations. Compensation & Benefits
- Salary: $18.58 per hour.
