About the Role The Tek Office Project Specialist supports project delivery and day-to-day operations, blending core project management responsibilities with coordination and administrative support to drive efficient execution and alignment across stakeholders. This role reports to the Principal Technical Project Manager and requires ownership, autonomy, and a tech-savvy approach to tools and systems. It offers hybrid work flexibility with three days per week in AIR’s Virginia office and occasional travel for meetings, training sessions, and conferences.

What You'll Do

  • Act as a trusted thought partner for executing strategic goals and KPI measurements.
  • Lead technical project planning and execution in a fast-paced, agile environment.
  • Manage and expedite technical deliverables while coordinating conflicting priorities; track timelines, action items, and priorities with proactive follow-ups and escalation as needed.
  • Maintain accurate project documentation, trackers, dashboards, and status updates for visibility and informed decision-making.
  • Frame agendas, prepare briefing materials, and track actionable follow-ups.
  • Partner with cross-functional teams to foster collaboration, alignment, and smooth execution across projects.
  • Provide operational support across budgeting, expense coordination, procurement, and vendor interactions while ensuring internal process compliance and confidentiality.
  • Adapt to changing duties based on business needs.

What We're Looking For

  • Bachelor’s degree in Information Technology, Computer Science, or related field, or equivalent experience with at least 5 years of relevant experience.
  • Foundational understanding of project management principles and tools (e.g., MS Project or Planner, Smartsheet).
  • Strong prioritization skills with the ability to navigate ambiguity and shift priorities.
  • Familiarity with tracking timelines, deliverables, and project documentation; CAPM certification or progress toward certification is a plus.
  • High-level problem-solving abilities to process complex data and advise leadership decision-making.
  • Excellent communication with executive presence; ability to convey concepts clearly to diverse audiences and foster collaboration across cross-functional and virtual teams.
  • Independence and initiative, with professionalism and sound judgment in interactions; ability to handle sensitive information with discretion.
  • Highly adaptable in fast-paced environments, able to manage multiple concurrent workstreams and deliver timely, high-quality results.
  • Strong analytical and critical thinking skills with attention to detail and sound judgment.
  • Proficient in Microsoft Office Suite (Word, Excel) with experience supporting project tracking and documentation.

Nice to Have

  • CAPM certification or progress toward certification.
  • Experience supporting budgeting, procurement, and vendor management.

Compensation & Benefits

  • Salary: $102,000 – $110,000 per year (USD).
  • Hybrid work arrangement with three days in the Virginia office; occasional travel for meetings, training sessions, and conferences.
