Job title: Program Coordinator - Semester Study Abroad
About the Role The Program Coordinator for Semester Study Abroad supports the Semester Study Abroad program by assisting the Director with executing programs and events that recruit, retain, orient, and reenter semester study abroad students. As a member of the Gordon-Zeto Center for Global Education team, you will provide opportunities and resources for Spelman faculty and students to engage with the cultures of the world. This is a non-remote, full-time on-site role based at Spelman College.
What You'll Do
- Conduct information sessions and respond to questions from students and parents (in-person, virtual, or email) about programs, requirements, costs, billing, scholarships, and deadlines.
- Develop targeted marketing and social media communications with the Director for events, activities, and outreach to students, faculty, and staff.
- Provide strong logistical support for study abroad activities and the semester calendar, including information sessions, workshops, orientation, and scholarship processes; use scheduling and collaboration tools.
- Coordinate in-person and virtual visits of study abroad providers and guest presenters; process student applications and keep students informed about housing, pre-departure, in-country and re-entry matters, billing, and orientation.
- Develop systems/databases to maintain records for semester/year study abroad participants (applications, health/safety forms, transcripts, passports, waivers, code of conduct, etc.); prepare open Doors reports as needed.
- Monitor budget and expenditures in Banner; generate billing statements and invoices; coordinate with Student Accounts for payment processing.
- Transmit transcripts to Registrar, and correspond with program representatives regarding transcripts.
- Create and maintain directory of program participants for Public Safety; manage the Study Abroad Resource Room; supervise work-study students; and support scholarship application materials and screenings.
- Provide administrative support for committees and initiatives (e.g., Faculty Study Abroad Committee, international student onboarding, and faculty-led programs).
What We're Looking For
- Bachelor’s degree and at least two years of experience or an equivalent combination; experience living abroad and/or programming in an academic setting required.
- Ability to manage complex and multiple tasks with minimal supervision; strong student-facing experience, communication, and time management skills.
- Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact; independent judgment to plan, prioritize, and organize a diversified workload.
- Excellent oral communication skills; ability to write business correspondence and procedure manuals, memos, letters, and emails; ability to read, analyze, and interpret documents.
Nice to Have
- Experience using Banner or other institutional financial systems; familiarity with study abroad frameworks and international program coordination.
