Position Summary
-
As a Program Coordinator at Whitworth University, you will provide essential administrative and logistical support to the Office of Church Engagement (OCE) and the Weyerhaeuser Center for Faith and Learning (WEY). Working closely with the Directors and staff of both departments, you will help ensure that programs, events, meetings, and day-to-day operations are organized and carried out effectively.

This position is a key support role for two active departments. The Program Coordinator manages calendars and scheduling, assists with event and program logistics, coordinates routine office operations, supports departmental communications, and provides administrative assistance with purchasing, expenses, and grant-related documentation.

This is a highly collaborative role suited to someone who is organized with a high attention to detail and knack for hospitality.

Core Responsibilities

Program & Event Coordination | 35%
-
Provide administrative and logistical support for OCE and WEY programs, events, lectures, retreats, conferences, and other departmental activities, including coordinating room reservations, catering, equipment, materials, and other university support.

Coordinate arrangements for speakers, guests, and ministry partners, including travel, lodging, itineraries, and other logistics.

Create and process contracts and other documentation associated with events and programs.

Maintain event calendars, timelines, and logistical information.

Provide on-site hospitality and support for departmental events as needed.

Assist Directors and staff with the implementation of programs and activities.

Administrative & Office Support | 35%

Serve as the primary point of contact for OCE and WEY, welcoming visitors, answering phone calls and general inquiries, and directing questions and requests to the appropriate staff member.

Monitor and respond to general departmental email and other inquiries, handling routine questions and referring more complex requests.

Provide day-to-day administrative support to OCE and WEY Directors and staff, including preparing documents, reports, and meeting materials.

Schedule meetings and appointments and maintain departmental and Directors' calendars.
-
Maintain accurate files, records, and archives in university systems and databases.
-
Coordinate routine departmental needs with university offices including needs related to facilities, technology, equipment, and office supplies.

Provide general technological and administrative support using Microsoft 365 and other university systems.
-
Assist with the supervision and coordination of student employees as assigned.
-
Develop and maintain relationships with key contacts across campus to efficiently coordinate departmental needs.

Provide administrative and logistical support for OCE and WEY communications as needed.

Finance Support | 25%

Assist with routine tracking and documentation of departmental and program expenses and budgets.

Process checks, payment requests, purchasing card documentation, and other financial transactions.

Provide administrative support for grant-related recordkeeping and reporting in collaboration with the OCE Finance Coordinator.

1-2 years of experience providing administrative support in a professional setting, including tasks such as managing calendars, scheduling appointments, handling correspondence, assisting with budgets, and organizing documents.
