ABOUT THE JOB

As a Program Assistant, you will drive operational coordination and workflow management, ensuring the seamless execution of program milestones. You will oversee critical logistical operations, fostering an efficient, high-performance environment. Key responsibilities include managing complex operational schedules, proactively de-conflicting priorities, and partnering directly with the Program Lead to execute mission-critical objectives. Beyond calendar architecture, you will facilitate key program meetings, synthesize and track strategic action items, compile briefing materials, direct complex travel logistics, and maintain vital program documentation. The ideal candidate is highly autonomous, proactive, and an exceptional communicator, capable of liaising with internal and external stakeholders across a high-tempo national security mission.

WHAT YOU'LL DO

  • Facilitate stakeholder operations and protocol requirements (including badging, secure facility access, and technical onboarding requests).

  • Coordinate program-level reviews across engineering, finance, and schedule baselines.

  • Manage security and visit protocol for internal and external engagements, tracking status to completion.

  • Proactively manage and de-conflict master program timelines and leadership schedules.

  • Drive ad-hoc strategic projects and operational initiatives for the Program Leadership Team.

  • Evaluate, prioritize, and triage incoming stakeholder engagement and meeting requests.

  • Direct end-to-end travel logistics, operational itineraries, and briefing coordination.

  • Serve as the primary operational liaison for visiting dignitaries and external partners.

  • Collaborate cross-functionally across engineering, business development, and operations teams to maintain program momentum.

  • REQUIRED QUALIFICATIONS

  • A minimum of 2+ years of experience in program coordination, project operations, business operations, or a related role within a fast-paced environment.

  • Excellent written, verbal, and interpersonal communication skills; proven ability to interface professionally with senior government officials, executives, and cross-functional teams.

  • Strong organizational and workflow management skills, with a track record of balancing multiple competing priorities while maintaining strict attention to detail and execution.

  • Demonstrated strategic curiosity and alignment with high-level company and mission objectives.

  • High adaptability and comfort navigating ambiguity in dynamic, rapidly evolving environments.

  • Proven discretion and trustworthiness when handling proprietary, sensitive, or classified information.

  • Proficiency in enterprise productivity suites (Microsoft Office / Google Workspace) and modern project collaboration tools.

  • Expertise in logistics orchestration and calendar management across complex constraints and time zones.

  • This position is an in-office role based in Reston, VA.

  • Eligible to obtain and maintain an active U.S. security clearance.

  • PREFERRED QUALIFICATIONS

  • Defense Contractor, Aerospace, or Tech Start-Up experience preferred.
