Overview
Impact the Moment
McGraw Hill is seeking an organized, detail-oriented Product Associate to provide administrative and operational support to our Canadian Product Team. This role keeps essential processes moving—from contracts, purchase orders, payments, and product data to team reporting and day-to-day coordination. It is an ideal opportunity for someone who enjoys creating order, following through on details, and supporting a collaborative team.
How can you make an impact?
You will be a key administrative partner to the Product Team, helping colleagues stay organized, meet deadlines, and complete core business processes accurately. You will work across functions, communicate with internal and external partners, maintain reliable records and product information, and identify practical ways to improve how work gets done.
This is a hybrid position that will report to our Toronto office at least one day a week. Candidates must reside in the Toronto area and be authorized to work for any employer in Canada.
What you will be doing:
- Coordinate contracts and approvals: prepare and route documents for signature through DocuSign; track follow-ups; distribute completed agreements; maintain organized records; and coordinate business case approvals.
- Support financial administration: create purchase orders, process invoices and payments, support vendor set-up and maintenance, and help coordinate royalty set-up.
- Maintain product information: set up and update accurate product metadata in the Product Data Cloud; coordinate product catalogue and e-commerce enablement with Marketing; and support product sunsetting activities.
- Manage requests and team records: coordinate adaptation agreement requests through Smartsheet; respond to or route permissions and accessibility inquiries; and maintain clear, current documentation.
- Provide day-to-day team support: prepare recurring reports, coordinate author and customer communications, schedule and track activities, and provide general administrative assistance across the Product Team.
- Support product activities as needed: assist with market research, content review, quality assurance testing, and coordination of external freelance contributors.
- Improve processes: learn new systems, help document team workflows, and suggest practical improvements that increase consistency and efficiency.
What you bring:
- A college certificate, diploma, or bachelor’s degree, or an equivalent combination of education and relevant experience.
- Two or more years of administrative, operations, coordinator, or editorial support experience.
- Experience processing invoices, purchase orders, contracts, or other financial and administrative records.
- Strong organizational skills and the ability to prioritize multiple requests, maintain accurate records, and meet deadlines.
- Careful attention to detail, sound judgment, and reliable follow-through.
- Clear, professional written and verbal communication skills and the ability to work effectively with colleagues, vendors, authors, and customers.
- Comfort working independently while supporting several team members in a collaborative environment.
- Confidence learning new systems and adapting to changing processes.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook. Experience with Smartsheet, DocuSign, Oracle, Salesforce, Qualtrics, or database tools is an asset.
