About the role
We are looking for a Process & Resource Optimization Intern to support the review and continuous improvement of processes across our Shared Services functions. The intern will spend time understanding the responsibilities, workflows, tools, interactions, and recurring activities of different areas and roles, documenting how work is currently performed and identifying opportunities to make those activities simpler, clearer, more efficient, and better organized.
Working closely with Operations and the different Shared Services teams, this person will help map processes, analyze how time and resources are used, identify repetitive or low-value activities, and support the implementation of practical improvements. The objective is not only to optimize individual tasks, but also to understand dependencies between areas and help create more efficient end-to-end ways of working.
The Quest:
- Learn and understand the main functions, responsibilities, recurring activities, tools, and workflows of the different Shared Services areas.
- Meet with team members and process owners to understand how each role operates, what information it receives, what it produces, and how it interacts with other functions.
- Document current processes through process maps, flowcharts, procedures, checklists, role descriptions, or other practical documentation.
- Identify duplicated activities, unnecessary manual steps, bottlenecks, rework, unclear ownership, excessive handoffs, and other opportunities for improvement.
- Analyze how time, tools, information, and other resources are used within recurring activities and propose practical optimization opportunities.
- Support the simplification and standardization of processes, templates, trackers, reports, forms, and recurring administrative activities.
- Explore opportunities to automate repetitive tasks using existing company tools or simple automation solutions, under the guidance of the corresponding process owners.
- Help clarify responsibilities, handoffs, inputs, outputs, and dependencies between Shared Services functions.
- Support the development and maintenance of Standard Operating Procedures (SOPs), process documentation, and shared knowledge resources.
- Participate in improvement initiatives from analysis through implementation, helping test proposed changes and gather feedback from users.
- Support the definition and tracking of simple indicators that help measure efficiency, turnaround time, workload, quality, or resource utilization.
- Prepare summaries and recommendations that clearly explain the current situation, identified opportunity, proposed improvement, expected benefit, and implementation considerations.
- Contribute to a continuous-improvement mindset by bringing curiosity, structure, and a fresh perspective to established ways of working.
The Skills
- Current student or recent graduate in Industrial Engineering, Business Engineering, Business Administration, Operations Management, Process Engineering, Systems Engineering, or a related field.
- Strong interest in process improvement, operational excellence, resource optimization, continuous improvement, or Shared Services operations.
- Analytical mindset and ability to understand how activities connect within a larger process.
- Curiosity and confidence to ask questions, observe how work is performed, and understand the reason behind existing processes.
- Ability to organize information and translate conversations and observations into clear process maps, procedures, or improvement proposals.
- Strong communication and interpersonal skills, with the ability to work with people from different functions and levels of the organization.
- Attention to detail combined with the ability to identify patterns and opportunities across multiple activities.
- Basic proficiency in Excel or Google Sheets; familiarity with process-mapping, data-visualization, project-management, or automation tools is a plus.
- Working English proficiency is highly desirable, particularly for documentation, research, and collaboration.
- Initiative, organization, adaptability, collaborative attitude, and willingness to learn how different business functions operate.
What success looks like
- A clear understanding and initial map of the main functions, workflows, and dependencies across the Shared Services areas is developed.
- Key recurring processes are documented in a clear, practical, and reusable way.
- Concrete opportunities for simplification, standardization, automation, or better use of resources are identified and prioritized with process owners.
- Improvement proposals are based on observation and data and consider the needs of the people who perform the work.
- Selected improvements are tested and implemented with appropriate follow-up, and their impact is documented whenever possible.
- Process documentation, ownership, and handoffs become clearer, helping reduce unnecessary effort, rework, or confusion.
- The intern becomes increasingly capable of analyzing a process end-to-end and presenting practical recommendations to Operations and Shared Services stakeholders.
