Job title: Practice Coordinator II
About the Role The Attleboro location is filling three Practice Coordinator II roles with start dates in June, July, and August. The Practice Coordinator II provides exceptional customer service to patients, families, physicians and staff, including check-in/check-out, updating patient information, answering non-clinical questions, and helping patients navigate the Cancer Center in accordance with DFCI Customer Service Standards. This role may assist with registration for new patients, collecting demographics and insurance information, and performs advance scheduling and related duties onsite.
What You'll Do
- Provide superior customer service to patients, families, physicians and staff, including front desk check-in/check-out and helping patients navigate the Cancer Center.
- Assist with registration of new patients, collecting demographics and insurance information.
- Perform appointment scheduling ranging from simple physician visits to multiple care provider appointments, in accordance with scheduling guidelines.
- Conduct front desk tasks, obtain detailed clinical information, triage calls, and direct patient flow as needed.
- Review patient alerts in Epic and reconcile demographic and insurance information; ensure accurate data for appointments.
- Coordinate complex scheduling for patients arriving from main campus or other centers, including coordination with specialists, dieticians, social work, and second opinions.
- Ensure completion of prior authorizations for radiology testing and outside services when requested same-day or within 24 hours.
- Manage referrals, coordinate medical records, and educate new patients about available services.
- Resolve issues or escalate to appropriate staff; recognize emergencies per SOPs.
- Provide general administrative support for patient care, including filing, data entry, telephone support, and insurance eligibility checks.
- Refer patients to financial counselors as needed; update insurance information when changed.
- Handle incoming record requests and route notifications; manage In Basket messages and referral workqueues in Epic.
- Perform scheduling-related processes to ensure proper billing and revenue processes.
- Participate in clinical systems training for new hires; may teach or contribute to planning.
- Prepare, open and close provider schedules and handle daily schedule changes; enter data into patient care databases.
- May perform mini-registrations, insurance verification, and clinical intake for new patients.
- May perform other duties as required by the operations team.

- Ability to collect and verify patient demographics and insurance information; knowledge of insurance verification.
- Proficient in Epic or similar patient scheduling systems; ability to review alerts and data integrity.
- Strong communication and interpersonal skills; able to triage calls and direct patient flow.
- Ability to coordinate care across multiple providers and departments, including referrals and medical records.
- Knowledge of prior authorizations for radiology and outside services.
- Strong administrative, data entry, and organizational skills; detail-oriented and multitasking.
- Flexibility to work in a fast-paced oncology environment and handle emergencies as needed.
Nice to Have
- Experience with Epic in an oncology/cancer center environment.
- Experience training or mentoring new hires or staff.
- Prior experience with patient navigation or care coordination roles.
Compensation & Benefits
- Salary: USD 49,000.00 - 61,800.00 per year.
- This is a full-time, onsite role based in Attleboro, MA.
