Job title: Portfolio Specialist
About the Role The Portfolio Specialist will manage portfolios of Sectional Title properties within our Property Management team. There are two roles available: one in Bryanston, Johannesburg and one in Century City, Cape Town, with hybrid working conditions for reliability of electricity and internet. You will ensure compliance with relevant legislation, provide effective financial oversight, and oversee day-to-day administration of schemes.
What You'll Do
- Attend Scheme Executive meetings (in person or remotely) for all Schemes in your portfolio, chair and/or minutely document discussions as required and action items with support from the FC and PA Team.
- Determine AGM/SGM timing and venue in accordance with legislation; prepare, attend and document AGM/SGM including budgets, quotes, quorum, insurance schedules, and follow up on action items.
- Manage the monthly levy run: provide information for the levy statement, oversee the run, approve snapshots and levy rolls, and ensure statements are generated for each Scheme.
- Manage monthly financial reporting: work with the Financial Controller to compile and distribute monthly reports to Scheme Executives.
- Liaise with Scheme Executives, contractors, councils and utility managements; maintain strong owner communications and feedback through letters and direct contact.
- Payroll and remuneration: submit payroll input by the 15th, approve remuneration lists, oversee distribution of pay slips, and assist with statutory information.
- Collections: coordinate with DMS/external attorneys for defaulting owners and handle accounts in transfer/arrangement or legal processes with DMS as needed.
- Utilities and maintenance: coordinate with external utility specialists; take instruction from Scheme Executives on building maintenance in collaboration with PA Team; ensure creditors are paid within parameters; add new creditors to the system.
- Insurance and Clearance: update insurance schedules, renew policies, and confirm levy information for clearance figures.
What We're Looking For
- Strong knowledge of Sectional Title legislation and property management fundamentals.
- Excellent communication skills, both written and verbal, and ability to engage with owners, Trustees/Directors, and vendors.
- Proactive, organised, and detail-oriented with the ability to manage multiple schemes and deadlines.
- Experience in property management or Sectional Title administration is preferred.
- Ability to chair meetings and take minutes; comfortable working with cross-functional teams (PA, FC).
Nice to Have
- Prior experience with PA Teams and financial reporting, budgeting and payroll coordination is beneficial.
- Familiarity with AGM/SGM processes and regulatory requirements.
Compensation & Benefits
- Salary: Commission-based – R35,000 – R45,000 per month.
- Benefits: Pension Fund.
