Role Summary
KEDA Ceramics International Ltd is seeking to recruit Personnel Operations Trainees who will undergo structured on-the-job training and gain practical exposure to various areas of HR personnel operations. The trainees will be guided and trained in contract management, HRIS maintenance, attendance and leave management, employee confirmation, personnel file management, and HR reporting. The trainees will work closely with the HR team to develop practical skills in maintaining accurate, complete, and up-to-date employee records while gaining an understanding of company HR policies, procedures, and personnel administration processes.
Training Areas & Key Responsibilities
Contract Management
- Learn how to prepare and process employment contracts for new employees.
- Gain exposure to contract renewals and continuous contract processes.
- Learn how to track contract expiry dates and follow up on pending renewals.
- Assist with employee confirmations, contract extensions, and amendments.
- Learn how to accurately update contract information in the HRIS.
- Assist in maintaining records of active, renewed, and expired contracts.
HRIS Management
- Learn how to create, update, and maintain employee records in the HRIS.
- Assist in updating employee information following transfers, promotions, confirmations, renewals, and other changes.
- Gain practical experience in maintaining accurate employee data in the system.
Attendance & Leave Management
- Learn how to monitor and verify employee attendance records.
- Assist in compiling attendance reports and following up on discrepancies.
- Gain exposure to leave application and leave balance management.
- Assist in verifying leave applications and preparing leave reports.
Personnel File Management
- Learn how to maintain complete and up-to-date physical and electronic personnel files.
- Assist in filing contracts, certificates, leave records, and other employee documents.
- Participate in periodic personnel file audits and follow up on missing documentation.
- Learn the importance of confidentiality and secure handling of employee records.
Reporting & Data Management
- Assist in compiling, verifying, and preparing HR/personnel reports.
- Maintain trackers for contracts, probation, confirmation, attendance, leave, and employee movements.
- Learn how to organize and analyze personnel data.
- Provide accurate personnel information and reports to the HR team as required.
Qualifications & Skills
- Diploma or Bachelor's Degree in Human Resources, Business Administration, or a related field.
- Previous internship, attachment, or basic HR experience will be an added advantage.
- Basic knowledge of HR practices and personnel administration.
- Good Excel and computer skills.
- Strong organizational and attention-to-detail skills.
- Good communication and interpersonal skills.
- Ability to maintain confidentiality when handling employee information.
- Willingness to learn and work with large volumes of employee data.
