Job title: Personnel Administration (PA) Specialist
About the Role LEONI is seeking a dedicated Personnel Administration (PA) professional to deliver PA services in alignment with department plans and global HR&O standards. You will manage the employee lifecycle, ensure data accuracy, and serve as the first point of contact for HR matters within a global automotive organization.
What You'll Do
- Drive delivery of Personnel Administration (PA) services as defined in department/team scope and annual plans
- Implement and drive LEONI HR&O standard processes, guidelines, and standards; customize them to country tax/legal/statutory requirements in alignment with global HR&O
- Administer the employee lifecycle (entry, leaves/absence, employment transactions, exit)
- Execute performance appraisals and target agreements
- Perform all relevant employee services (e.g., preparing certificates and other legally required documents)
- Prepare documents and data records for new hires (legal papers, IT systems/databases)
- Manage and modify work contract provisions and position/status changes; handle special absences (e.g., maternity, military, long-term sickness, garden leave)
- Manage termination of contracts (legal papers, IT systems/databases)
- Manage access rights and related communications to affected stakeholders
- Handle administrative matters for employees (badges, meal-tickets, etc.)
- Prepare letters of reference, certificates, and position profiles
- Record and maintain personnel master data
- Enter payroll-relevant data into payroll and related systems/tools
- Maintain organizational structure in HR administration tools (e.g., SAP)
- Maintain specific legal administrative reports; provide ad-hoc reports on request
- Serve as the first contact for employees on HR matters (info requests, data/status changes, certificate requests, etc.)
- Interface with all personnel administration matters within and outside HR (employees, managers, HR business partners, PY, TiM, recruiting, HR controlling, etc.)
- Provide advice and subject-matter expertise in PA within HR and towards the business; ensure adherence to globally defined policies, processes, tools, and frameworks
- Ensure accurate and compliant data quality for all PA-related data
What We're Looking For
- Experience in personnel administration or HR operations
- Strong ability to manage employee lifecycle, HR data, and payroll-related information
- Familiarity with HR systems and processes (e.g., SAP) and the ability to maintain organizational structures
- Knowledge of tax/legal/statutory requirements in-country and ability to adapt processes accordingly
- Ability to prepare and manage legal documents, certificates, and reference letters
- Strong communication skills and being a reliable interface for employees, managers, and HR partners
- Attention to data quality and compliance
- Proactive, advisory mindset within the HR community and toward the business
Nice to Have
- Experience with SAP HR or similar HRIS
- Exposure to a global automotive or manufacturing environment
- Ability to work in a fast-paced, cross-functional setting
