Job Title: Payroll Specialist

Job Description

Who You’ll Work With

We’re looking for a Payroll Specialist to support accurate, compliant, and timely payroll delivery, with a primary focus on U.S. payroll and opportunities to build experience supporting broader North America payroll operations over time.

This role is ideal for someone who brings a strong attention to detail, a growth mindset, a collaborative working style, and an interest in developing payroll and data analysis expertise. You will support day-to-day payroll processing, help maintain employee trust, follow established payroll controls, identify and escalate discrepancies, and contribute to a reliable and continuously improving payroll function.

You’ll collaborate closely with Payroll team members, internal partners, and external vendors to process payroll activities, validate data and system outputs, research and resolve payroll questions, support audits and year-end activities, and maintain payroll documentation. This is an individual contributor role for someone who is organized, curious, systems savvy, eager to grow their payroll knowledge, and comfortable taking ownership of assigned responsibilities while seeking guidance when needed.

What You’ll Do

  • Process and support U.S. payroll activities in accordance with established procedures, controls, timelines, and compliance requirements.

  • Review and validate payroll inputs, system outputs, reports, and exception data to identify discrepancies and support accurate payroll results.

  • Research and resolve routine payroll issues, adjustments, corrections, off-cycle payments, and employee inquiries, escalating more complex matters when appropriate.

  • Perform assigned payroll audits and reconciliations, investigate discrepancies, and document findings and resolutions.

  • Apply established payroll policies, procedures, and regulatory requirements to day-to-day payroll activities, seeking guidance for new or complex situations.

  • Work collaboratively with Payroll, HRIS, Benefits, Compensation, Finance, and external vendors to research issues, exchange information, and support timely resolution.

  • Use payroll data and reporting to identify errors, recurring issues, or trends and share observations with the broader Payroll team.

  • Create and maintain clear payroll documentation, including SOPs, process guides, knowledge articles, audit support, and employee-facing guidance.

  • Participate in process improvement activities by identifying opportunities, sharing ideas, and supporting implementation of approved changes.

  • Support payroll system testing, report validation, and UAT activities for system updates, enhancements, and payroll-related projects.

  • Build knowledge across payroll processes and develop effective backup coverage for assigned responsibilities through cross-training.

  • Demonstrate curiosity, openness to feedback, and a continuous learning mindset by developing payroll expertise and adapting to changing business and team needs.

  • What You’ll Bring

  • 3-5 years of payroll or closely related experience.

  • Experience supporting U.S. payroll processing and related audits, reconciliations, employee inquiries, and compliance activities.

  • Working knowledge of payroll processing principles and an interest in continuing to build expertise in U.S. payroll operations.

  • Experience supporting payroll processing, audits, reconciliations, payroll tax activities, employee inquiries, or related payroll operations.

  • Strong attention to detail and commitment to accurate, timely, and compliant payroll delivery.

  • Analytical and problem-solving skills, with the ability to review payroll data, identify discrepancies, research issues, and work toward resolution.

  • Ability to follow established procedures and controls while recognizing when an issue requires additional research or escalation.

  • Strong communication and collaboration skills, with the ability to work effectively across Payroll and partner teams and communicate payroll information clearly.

  • Experience with Workday, ADP, or other payroll-related systems and vendors preferred.

  • Ability to create and maintain clear process documentation, SOPs, job aids, and employee-facing guidance.

  • Interest in learning Canadian payroll or cross-border payroll operations and building knowledge in these areas over time.
