Position Summary
Reporting to the Senior Payroll Manager, the Senior Payroll Specialist is responsible for the accurate and timely processing of multi-state payrolls for CSW Industrials and its operating companies. This role partners closely with Human Resources, Finance, and business leaders to ensure payroll accuracy, regulatory compliance, and exceptional employee experience. The ideal candidate possesses strong UKG Pro expertise, payroll tax knowledge, and the ability to thrive in a fast-paced environment supporting multiple business units.
Key Responsibilities
- Process weekly, biweekly, and off-cycle payrolls utilizing UKG Pro.
- Audit payroll transactions, earnings, deductions, taxes, and benefit changes to ensure accuracy and compliance.
- Perform payroll balancing and reconciliation activities before and after each payroll cycle.
- Review payroll exception reports, variance analyses, and control reports, investigating and resolving discrepancies.
- Ensure compliance with federal, state, and local payroll tax regulations, wage and hour laws, and company policies.
- Support quarter-end and year-end payroll activities, including W-2 processing and payroll tax reconciliations.
- Process adjustments, manual checks, reversals, and retroactive pay corrections as needed.
- Partner with HR and Benefits teams to validate employee data, compensation changes, and benefit deductions.
- Assist with acquisitions, system implementations, payroll integrations, and process improvement initiatives.
- Maintain payroll documentation, internal controls, and audit readiness standards.
- Provide exceptional customer service by responding to employees, managers, and business partners regarding payroll inquiries.
- Identify opportunities to streamline payroll processes and leverage UKG functionality to improve efficiency.
Qualifications
- 7+ years of payroll processing experience in a multi-state environment.
- Strong working knowledge of UKG Pro (UltiPro) payroll processing and reporting.
- Knowledge of payroll tax regulations, garnishments, deductions, and wage and hour compliance.
- Advanced proficiency in Microsoft Excel, including data analysis and reconciliation functions.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent attention to detail, analytical thinking, and problem-solving abilities.
- Effective verbal and written communication skills.
- Experience supporting manufacturing or multi-entity organizations preferred.
- CPP certification required.
