About the Role The Patient Access Representative II is responsible for complete and accurate patient registration and admission across multiple access service areas, ensuring timely information exchange and financial clearance to maximize reimbursement. This part-time role supports patient check-in, insurance verification, and coordination of care across sites from Arlington Heights, IL, with hours Monday–Friday, 3:30pm–12am and rotating weekends/holidays. What You'll Do

  • Perform complete and accurate registration/admission across multiple access service areas or sites to maximize reimbursement and provide timely information to providers and users of patient data.
  • Verify insurance requirements, obtain and understand benefits, and collect non-covered fees.
  • Register and pre-register outpatients across primary and external locations; obtain NPI for providers not on staff when ordering tests.
  • Interact with patients and representatives to collect/interpret demographic, insurance, financial, and clinical data; arrange interpreter services as needed.
  • Obtain and scan consent for treatment, ID/insurance cards, Coordination of Benefits, and other documents; initiate Medicare MSP questionnaire and ABN as appropriate.
  • Review physician orders for completeness and regulatory compliance (IDPH, CMS) and ensure privacy notifications and financial responsibility are established.
  • Streamline check-in for pre-registered patients and update accounts for changes; coordinate with service areas to avoid delays.
  • Maintain financial protocols; refer to Financial Counselors for financial assistance options; identify cases requiring Case Management.
  • Collaborate with internal/external stakeholders to resolve third-party payer requirements prior to service; minimize denials by obtaining authorizations.
  • Maintain current knowledge of insurance requirements; utilize CPT/ICD codes and payer resources; use estimators to determine financial responsibility and meet cash collection goals.
  • Maintain registration accuracy (≥97%); log cash receipts and balance cash at all times.
  • Coordinate scheduling for patients requiring multiple tests; explain prep/wayfinding and assist with offsite tests; document information in hospital systems in compliance with EMTALA/HIPAA and payer rules.
  • Prepare and distribute registration forms, documents, charts, and related materials; notify clinical departments of arrivals.
  • May precept new hires and serve as a resource for performance improvement; may act as receptionist/greeter and assist with patient transport and flow; support departments as needed.
  • Adhere to AIDET customer service standards and investigate inquiries or complaints with follow-up to ensure satisfaction.
