Job Description: We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative and executive support to the Senior Vice President (SVP) for Asia Pacific & India Upstream. This role is crucial for ensuring the smooth and efficient operation of the SVP's office, enabling them to focus on strategic priorities.
Job Responsibilities:
- Manage and maintain the SVP's complex calendar, including scheduling meetings, appointments, and travel arrangements across multiple time zones.
- Partner closely with the SVP, Business Advisor, and Leadership Team to coordinate strategic priorities and ensure timely execution of commitments.
- Coordinate and prepare materials for meetings, presentations, and conferences, ensuring all necessary documents are accurate and distributed in a timely manner.
- Act as a primary point of contact for internal and external stakeholders, screening calls, emails, and correspondence, and directing inquiries appropriately.
- Handle confidential information, records, and documentation with the highest standards of integrity and discretion.
- Support the preparation of executive briefings, reports, presentations, and other communications, demonstrating strong writing and communication skills.
- Organize and coordinate end-to-end domestic and complex international travel, executive visits, events and organizational meetings.
- Process expense reports, invoices, purchase orders and other financial documentation in accordance with company policies.
- Proactively anticipate the needs of the SVP and the leadership team, identifying and resolving potential issues before they arise.
- Provide guidance, coaching, and informal leadership to administrative professionals across the organization and promote best practice and knowledge sharing within the administrative community
- Contribute to a positive and efficient work environment through excellent organizational and interpersonal skills.
Job Qualifications:
- Proven experience as a Personal Assistant or Executive Assistant supporting senior-level executives, preferably within a large, international organization.
- Exceptional organizational and time management skills with the ability to prioritize effectively in a fast-paced environment.
- Excellent written and verbal communication skills, with a high level of attention to detail and accuracy.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent judgment and ability to maintain confidentiality and exercise discretion.
- High degree of adaptability and ability to manage multiple priorities simultaneously.
- A collaborative approach with strong interpersonal skills and the ability to build effective relationships at all levels.
- Proactive problem-solver with a strong sense of initiative.
- Understanding of emotional intelligence and ability to adapt communication style to different partners.
- Experience with international travel arrangements and logistics is highly desirable.
- Knowledge of the energy or upstream industry is a plus.
