About this role
Operations Specialist
We are looking for an Operations Specialist to support facilities operations through a long-term contract assignment. This onsite position is ideal for someone who excels at organizing workflows, maintaining accurate documentation, and keeping administrative processes running smoothly. The role centers on ticket coordination, standard procedure development, recordkeeping, and day-to-day support for facilities-related requests rather than hands-on maintenance or vendor oversight.
Responsibilities
-
Oversee the facilities request queue by reviewing incoming items, prioritizing needs, assigning ownership, and monitoring progress through completion.
-
Record and update service requests within the ticketing system to ensure accurate status tracking, deadlines, and follow-up actions.
-
Prepare routine operational reports that highlight closure rates, aging requests, and unresolved or unassigned tickets.
-
Develop, revise, and organize standard operating procedures for recurring facilities processes, including request handling, access support, and onboarding activities.
-
Support badge administration by producing employee badges, issuing access materials, and maintaining accurate distribution records.
-
Create and maintain documentation templates, safety-related records, and shared reference libraries to improve consistency across the team.
-
Provide administrative support for daily facilities needs such as mail distribution, package handling, supply coordination, and general employee assistance.
-
Capture meeting notes, track next steps, and assist with planning activities tied to office moves, space updates, or build-out coordination.
-
Welcome and coordinate scheduled visitors when needed to support a smooth onsite experience.
-
At least 2 years of experience in operations, facilities coordination, workplace support, or a comparable administrative environment.
-
Hands-on experience working with a ticketing platform and managing requests from intake through resolution.
-
Demonstrated ability to create, update, and maintain SOPs, templates, and process documentation with strong attention to detail.
-
Familiarity with safety and compliance practices, including exposure to OSHA-related documentation standards.
-
Strong organizational skills with the ability to manage multiple priorities, maintain logs, and meet follow-up deadlines.
-
Clear written and verbal communication skills, including reporting, note-taking, and coordination across internal teams.
-
Proficiency with operational reporting and process tracking; exposure to metrics-driven environments such as call center operations, banking, or lending settings is a plus.
