Operations Manager (Part-Time)
Location: Fully remote (U.S.-based)
Preference for candidates in the Boston/Cambridge, MA area who can occasionally support in-person operational needs, such as mail handling.
Hours: Approximately 16–24 hours/week
About Apollo
Apollo Quantum is a small, growing technology consulting firm working at the intersection of quantum computing and government. Our highly technical team helps government clients understand and evaluate emerging technologies.
We combine the agility of a startup with the operational rigor required in government contracting. As Apollo grows, we are looking for an experienced Operations Manager to take ownership of day-to-day business operations and help us build systems that can scale with the company.

This is an opportunity to have meaningful ownership without committing to a traditional full-time schedule.
You will work directly with company leadership, have visibility across nearly every part of the business, and play an important role in shaping how Apollo operates as we grow.
Rather than stepping into a large organization with established processes, you will have the opportunity to improve systems, solve operational problems, and build lightweight processes that make the company run better.
We are looking for someone who enjoys bringing order to complexity, exercises strong judgment, and wants the autonomy to make things work.
Position Overview
The Operations Manager will serve as the operational backbone of Apollo, enabling company leadership to focus on technical, client, and strategic work.
You will own recurring business operations and coordinate administrative, people, compliance, and internal processes across the company. Some systems are already established; others will need to be improved or built as we grow.
This is a high-trust role. We are looking for someone who can recognize what needs to happen, move work forward independently, and bring leadership in when a decision or escalation is needed.
Key Responsibilities

Operational Execution & Systems

Own and improve internal workflows and administrative systems

Ensure recurring operational processes run reliably and on schedule

Maintain calendars, trackers, documentation, and recurring workflows

Identify inefficiencies and implement practical, lightweight improvements

Business Operations & Coordination
-
Track internal priorities, deadlines, and deliverables
-
Support execution of leadership priorities and company initiatives
-
Coordinate with vendors, contractors, professional service providers, and internal team members
-
Follow through on operational tasks from identification through completion

Compliance & Documentation
-
Maintain organized records for contracts, compliance requirements, certifications, and internal policies

Coordinate administrative requirements related to government contracting

Support documentation for proposals, audits, reporting, and other compliance activities

Help ensure recurring requirements and deadlines do not fall through the cracks

People Operations & Administration

Coordinate hiring logistics and employee onboarding

Support benefits administration and payroll inputs

Maintain personnel records and internal documentation
-
Help create consistent, professional employee processes as the team grows

Executive Leverage
-
Take ownership of operational work that would otherwise fall to company leadership

Anticipate administrative needs and follow up without requiring detailed direction

Serve as a central point of coordination across the company

Surface decisions, risks, and issues to leadership at the appropriate time
Qualifications
-
5+ years of experience in operations, office management, project coordination, administrative management, business operations, or a similar role preferred

Strong organizational and project-management skills

Excellent written and verbal communication

Ability to manage multiple priorities and follow through independently

Strong judgment and attention to detail

Comfort working with documentation-heavy or compliance-oriented processes

Comfort learning and working across technology platforms, including Microsoft Office, spreadsheets, project-management tools, and HR/payroll systems

Experience in consulting, government contracting, professional services, or startup environments is a plus

Prior government-contracting experience is helpful but not required. We care more about your ability to learn requirements, create reliable systems, coordinate with subject-matter experts, and ensure work gets completed correctly and on time.
