Job title: Operations Clerk
About the Role The Operations Clerk for Returns provides clerical and administrative support at DHL Supply Chain's Desoto location. This role handles return governance, claims processing, customer communications, and coordinating warehouse receiving activities to ensure accurate documentation and efficient returns flow.
What You'll Do
- RGA & Claims Processing: Process Return Goods Authorizations (RGAs) in SAP; Post return claims without PO from SLOC 5599 using SAP; research and validate claim orders against sales orders in SAP; ensure accuracy and completeness of return-related documentation.
- Customer Communication: Manage daily email correspondence with customers regarding RGA inquiries, claim discrepancies, and past-due claims; utilize directory and shared drives for contact and tracking.
- Warehouse & Receiving Operations: Receive and unload scheduled live loads for approved RGAs; verify shipments against documents; monitor pallet intake and report when counts exceed 30 skids per shift.
- Discrepancy Resolution: Coordinate with Customer Service Representatives and supervisors on discrepancies, inconsistencies, unscheduled deliveries, and documentation issues.
- Housekeeping & Compliance: Perform daily housekeeping; maintain an organized, safe work environment per operational standards.
- Role-specific responsibilities: Codes delivery manifests and prepares billing; compile statistics from manifest data; input delivery information into the computer; assist with dispatching; handle owner/operator settlement problems; contact customers to confirm delivery details; check postponements/cancellations against delivery manifest; prepare purchase orders for signature; answer telephones; type correspondence; maintain department files.
What We're Looking For
- Experience with SAP-based returns, RGAs, and claims processing or similar ERP systems.
- Ability to communicate professionally with customers and internal teams; strong written and phone/email etiquette.
- Strong attention to detail for ensuring documentation accuracy, BOLs, and manifest data.
- Ability to verify shipments against documentation and coordinate with Receiving/CSRs.
- Comfortable working in a fast-paced logistics environment with early morning shift.
- Knowledge of safety, housekeeping, and maintaining an organized workspace.
