About the Role
The Office Services Specialist supports the firm’s document handling and office services operations, including reproduction, binding, mail processing, and vendor coordination. The role emphasizes meeting deadlines, maintaining equipment, and facilitating communication among attorneys, paralegals, and staff, with occasional supervisory responsibilities and cross-team collaboration.
What You'll Do
- Reproduce documents on high-volume copiers/duplicators, including collating, binding, inserting number or letter tabs, and logging client/matter numbers into cost accounting and backup systems
- Bind documents in various styles and operate paper drill and cutter equipment; perform quality checks and maintain logs and records
- Place service calls and coordinate with vendors and technicians; oversee overflow work and distribution to outside vendors
- Manage mail and package logistics: prepare, send, receive, and trace hand deliveries, Federal Express, and UPS packages; assist with sorting and distributing interoffice mail
- Send facsimile transmissions and operate mail machinery; assist with nightly mail drops
- Assist in ordering and stocking supplies (department supplies, printer and convenience areas); monitor inventory and reorder as needed
- Assist with office relocations (lifting and moving boxes, furniture, equipment)
- Test and evaluate new equipment; answer telephones and serve as a central point of contact
- Cross-train with other departments (hospitality, records); coordinate with office services staff to prioritize workflow and resolve issues
- Assist with invoice control and vendor relations as assigned; perform other duties as required
What We're Looking For
- Education: High School Graduate or equivalent
- Experience: Minimum of one year of experience on high-volume copiers; law firm office services experience preferred
- Skills: Ability to understand and follow instructions; ability to organize and prioritize workload; strong decision-making and judgment skills; ability to program, operate, and troubleshoot copiers; ability to work under pressure; strong customer service and professional communication skills; strong time management and productivity skills
