Job title: Office Manager
About the Role The Office Manager supports the Terminal Manager and main office staff with a focus on administrative leadership, payroll oversight, and operations coordination at the Fairless Hills terminal. This role helps drive administrative efficiency and regulatory compliance for the site.
What You'll Do
- Lead a small administrative team (2+ positions) at the terminal.
- Prepare departmental correspondence, reports, records, and forms for the main office.
- Oversee payroll accuracy and related salary functions at the terminal.
- Ensure office materials and supplies are adequate; maintain electronic and hardcopy filing systems.
- Complete HR forms and documentation as needed; maintain Outlook calendars and schedule meetings.
- Maintain personnel contact lists and organization charts; manage office accounting processes.
- Track and maintain vessel operations KPIs; assist with customer interactions, site visits, and contract reviews.
- Assist with environmental and regulatory compliance tracking; contribute to new business operational planning and setup.
- Coordinate with IT on network issues and IT initiative compliance; oversee terminal network communications and data retention on company drives.
What We're Looking For
- High school diploma or GED with 3+ years of administrative support experience.
- Proficiency in Microsoft Word, Outlook, Excel, PowerPoint, and Access; ability to work in a networked environment.
- Experience with payroll systems and supervising employees in a terminal environment.
- Valid driver’s license with satisfactory driving record; willingness to use personal and/or company vehicle.
- Ability to obtain/meet requirements to enter foreign trade zones (background checks by U.S. Coast Guard and DHS; TWIC).
- Drug screen and complete background check after offer.
- Strong judgment, prioritization, teamwork, and communication skills; ability to handle sensitive information and work under pressure.
- Flexibility for overtime; basic math skills; attention to detail and process improvement.
- Regular attendance; ownership and accountability for commitments; ability to manage multiple administrative roles.
- Associate’s degree in Business Administration, Office Administration, or Administrative Assistant.
- Preferred: Certified Administrative Professional; experience in chemical, refining, terminal, or pipeline industries.
