Job title: Office Manager, English and Foreign Languages Department
About the Role The Office Manager for the English and Foreign Languages Department provides administrative and operational support to ensure the effective functioning of departmental academic programs. This role serves as the primary point of contact for faculty, students, staff, and external stakeholders, and helps coordinate day-to-day operations, scheduling, records, and compliance within Oakwood University's faith-based environment.
What You'll Do
- Manage daily administrative operations of the English and Foreign Languages Department to ensure efficient and professional office functioning.
- Serve as the primary point of contact for faculty, students, staff, and external stakeholders.
- Provide direct administrative support to the Department Chair and faculty, including scheduling, correspondence, and document preparation.
- Coordinate departmental academic activities, including class schedules, meetings, events, and special programs.
- Maintain accurate departmental records, files, and databases in accordance with institutional policies.
- Assist with course scheduling, faculty workload documentation, and coordination with the Registrar’s Office.
- Manage purchasing requests, invoices, budget tracking, and reconciliation in compliance with University financial procedures.
- Monitor departmental budgets and assist leadership with routine financial reporting and documentation.
- Facilitate communication between the department and campus offices such as Academic Affairs, Human Resources, Payroll, Business Office, and IT.
- Assist with student inquiries related to departmental policies, course offerings, and program requirements, referring as appropriate.
- Coordinate departmental meetings, prepare agendas, record minutes, and track follow‑up actions.
- Support accreditation, assessment, and reporting activities by maintaining required documentation and data.
- Maintain confidentiality of academic, personnel, and student information at all times.
- Assist with departmental marketing, communication, and outreach activities, including updates to webpages or materials as assigned.
- Ensure compliance with Oakwood University policies, procedures, and administrative guidelines.
- Support and promote Oakwood University’s mission, values, and faith‑based educational environment.
- Perform additional administrative duties as assigned to support departmental operations.
What We're Looking For
- Associate or Bachelor’s degree from a regionally Accredited institution.
- Demonstrated experience in administrative or office management support, preferably in a higher-education or academic department setting.
- Strong organizational and time-management skills with the ability to prioritize multiple responsibilities.
- Proficiency in standard office software (e.g., word processing, spreadsheets, email, scheduling systems).
- Ability to prepare, maintain, and manage accurate administrative, financial, and academic records.
- Excellent written and verbal communication skills.
- Demonstrated ability to interact professionally with faculty, students, staff, and external constituents.
- High level of discretion with the ability to maintain confidentiality of personnel, academic, and student information.
- Ability to interpret and apply institutional policies and procedures.
