Who We Are
-
We’re Pinnacle — an experiential marketing house. Strategists, creatives, builders, and your future besties, all fueled by the same pursuit: we’re never satisfied. Our name is an ambition. We chase down the next “holy smokes, they actually did that” moment. And then, we do it again.
-
The Role
-
We are recruiting for a high powered, extra resourceful, incredibly organized and all around rad Office Administrator to wrangle the exciting, fast-paced chaos in our Irvine, California facility.
What You’ll Do
-
Keep the building humming behind the scenes—paper stocked, printers ready, coffee brewing, and supplies on hand
-
Coordinate shipping and mail, including preparing labels, handling deliverires, and reviewing FedEx invoices
-
Monitor inventory and order office, kitchen, and coffee supplies so that we have what we need when we need it
-
Coordinate some building and equipment repaires, replace printer toner, and work with vendors for copier, phone, janitorial, and other facility services
-
Take ownership of the role and pride in the space – notice what needs attention, jump in where you can help, and bring a positive, collaborative approach to the people around you
-
Provide a variety of administrative support to our sales, HR, and operations teams, including data entry, database updates, and responding to client and account team requests
-
Prepare conference rooms for client visits and meetings, including refreshments, supplies, and tidying up afterward
-
Answer phones, respond to general inquiries, and welcome clients and visitors with a friendly, helpful approach
-
Process routine purchasing requests and purchase orders, and help maintain accurate inventory records
-
Book travel and assist with arrangements for employees and project teams
-
Keep shared spaces clean, organized, and welcoming, including kitchens, conference rooms, and common areas
-
Plan our employee parties, events, and team lunches
-
Help create and share office communications, with opportunities to dabble in creative projects
-
Who You Are
-
You’ve got strong administrative and organizational skills and enjoy keeping things on track in a busy, fast-paced office
-
You’re all about the details. You double check, triple check, and catch the little things before they become bigger things
-
You can pick up where you left off after a phone call, delivery, or “quick question” – and manage your time to meet multiple deadlines
-
You bring at least two years of administrative experience, and you actually love this kind of work!
-
You know your way around Microsoft Office (Word, Excel, Outlook and presentation programs); familiarity with Adobe Creative Suite
-
You keep your cool when things get hectic and know that confidential information stays confidential
-
You’re a clear, friendly communicator—whether you’re writing an email, answering the phone, or helping someone in person
-
You’re dependable, competent, helpful, and ready to pitch in, we can count on your to be here and ready to go, Monday-Friday, 8:00 am to 5:00 pm
-
Not For You If…
-
You need someone else to organize your day and remind you of deadlines
-
Answering phones, restocking coffee, or tidying shared spaces feels beneath you
-
You aren’t open to feedback or learning from mistakes
-
Details and proofreading feel like unnecessary extras
-
You prefer a quiet, predictable workday with few interruptions
-
You don’t particularly enjoy administrative work—because around here, it’s the heart of the job!
-
We look forward to hearing from you!
