Ocean Export Coordinator / Specialist
This is not an entry-level position. The current ocean export team is small, with Moe and two other team members, and they are handling a significant amount of business. They need someone who can step in, understand the operation quickly and take ownership of shipments without extensive training.
The ideal candidate will have experience working for a freight forwarder, NVOCC, ocean carrier or similar international logistics company, ideally in an environment comparable to De Well Group.
Relevant backgrounds could include companies such as De Well Group, CMA CGM, APL, Krieger Worldwide or similar freight forwarding and international transportation organizations.
Responsibilities
- Manage the end-to-end ocean export process from booking through shipment departure
- Coordinate ocean export shipments with customers, steamship lines, NVOCCs, truckers, warehouses and overseas agents
- Prepare and review commercial invoices, packing lists, bills of lading, shipping instructions and other export documentation
- Request and confirm vessel bookings and monitor vessel schedules, cutoff dates and ETDs
- Coordinate cargo pickup, terminal delivery and container movement
- Track shipments and proactively communicate schedule changes, delays, rollovers and other issues
- Communicate directly with customers regarding shipment status and operational questions
- Coordinate with overseas offices and international agents to ensure smooth movement of cargo
- Communicate with steamship lines regarding bookings, rates, equipment, documentation and shipment status
- Review shipping instructions and ensure accuracy of bill of lading information
- Monitor documentation deadlines and make sure required information is submitted accurately and on time
- Coordinate with customs brokers and other logistics partners as needed
- Assist with freight quotes, rate requests and competitive cost analysis
- Research and resolve shipment discrepancies, documentation issues and operational problems
- Maintain accurate shipment files and documentation
- Review shipment-related charges and assist with customer invoicing
- Maintain strong relationships with customers, carriers and overseas partners
- Manage multiple shipments and deadlines in a fast-paced environment
- Identify potential issues proactively and work toward solutions
- Support the team as the company's international operation continues to grow
The ideal candidate will be:

Experienced in ocean export operations

Coming from a freight forwarder, NVOCC, ocean carrier or similar environment

Comfortable managing the full export process rather than only one portion of the operation

Strong with documentation and detail-oriented

Comfortable communicating with customers, carriers and overseas partners

Able to manage multiple shipments and deadlines

Independent, proactive and resourceful

Someone who can come in and quickly take ownership of their workload

Comfortable working in a fast-paced, high-volume environment

Willing and able to work onsite five days per week

Chinese language skills could be a plus and may provide additional growth opportunities given the company's international operations and expansion
