Role Overview
This position involves managing critical mortgage loan documents to ensure their accuracy, quality, and integrity. The role requires adherence to information safeguarding protocols, effective data and document retrieval, and compliance with company and investor document lifecycle and records retention procedures. The specialist will work under direct supervision, participating in basic research and review activities with a narrow scope.
Key Responsibilities

Monitor and respond to various queues and queries via email or phone, formatting reports for document release and updating databases for outgoing documents.

Review systems of record and update the mortgage loan servicing system to confirm receipt of original documents.

Process lien releases and paid-in-full mortgage loans, ensuring compliance with federal and state regulations.

Oversee third-party vendors for accuracy and timely processing.

Review loan notes for accuracy to validate saleability and coordinate corrections with mortgage staff, closing agents, and vendors.

Prioritize and forward investor-mandated documentation for Ginnie Mae (GNMA) and private investor pool final certifications.

Accurately index mortgage documents in sequential order for efficient lookup and review.

Resolve escalated member issues, such as third-party requests for documentation, which requires validation and member permission.

Enter required information for paid-in-full mortgage loans, obtain appropriate signatures, and mail release documents to the appropriate vendor or county courthouse.

Research, analyze, and resolve issues related to documentation.

Required Qualifications
-
Experience: 1-5 years of relevant experience. Exposure to responding to sensitive, complex, or urgent customer requests is necessary. Experience with automated systems is also required.

Technical
Skills
-
Basic proficiency with word processing and spreadsheet software. Basic knowledge of eMortgage and MERS functions is needed. Knowledge of Prokey functions and documents is also required.

Skills: Basic written and verbal communication skills. Foundational research, analytical, and problem-solving abilities are required, along with organizational, planning, and time management skills. The ability to maintain accuracy with attention to detail and meet deadlines is essential.

Preferred Qualifications
-
An Associate degree or higher in Business Administration, Records and Archive Management, or an equivalent combination of training, education, and experience.

Exposure to mortgage or equity loan processing, closing, and documentation requirements and regulations.

Member or customer service experience, preferably in a call center, retail banking, or financial institution.

Familiarity with common file classification conventions.

Ability to obtain a notary public license.
