Job title: Miscellaneous Wage, Administrative Program Assistant
About the Role The University of Delaware’s Delaware Space Grant Consortium seeks a part-time Administrative Program Assistant to help organize electronic program records, improve communication with students and faculty, and assist with program events within the Physics and Astronomy department.
What You'll Do
- Enroll students and other vendors with procurement
- Manage and track document submissions including signed offer letters
- Handle applications with attachments
- Manage reimbursement forms
- Compile Research and Experience reports and Research Posters
- Manage travel planning including booking lodging and reimbursements
- Pay conference and workshop registrations
- Educate students on travel plans and policies
- Manage opportunity advertisements
- Physical mailings and postings; email list management
- Manage dissemination requests from partners
- Manage student data records spreadsheets
- Update website
- Post to Facebook, Instagram
- Assist with event management, including annual symposium and board meetings
- Support student recruitment events
- Collect and electronically file student applications and submissions
- Update student data spreadsheets
- Assist travel booking and reimbursements for students and faculty
- Facilitate program messaging across website, social media, and email list serves
- Assist with hosting of two annual in-person program events
What We're Looking For
- Minimum of HS diploma or GED
- Basic proficiency with Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
- Experience working with WordPress or similar website content management systems
- Experience with University of Delaware Procurement processes or similar purchasing/procurement systems is preferred
- Strong organizational skills with the ability to maintain accurate records and manage administrative tasks
- Attention to detail with the ability to identify and correct errors, broken links, and missing content on websites
- Ability to track, organize, and manage student submissions while maintaining accurate records
- Strong written communication and problem-solving skills
- Ability to work independently and manage multiple tasks effectively
Nice to Have
- WordPress or CMS experience
- Familiarity with procurement processes or purchasing systems
Compensation & Benefits
- Hourly rate: $18.00 per hour
- This is a part-time, non-benefited position.
