Our Story
TopDog Law is a nationally scaling personal injury firm that owns the client experience end to end, from marketing and intake through litigation. We've grown 2-3x year over year for three years running, and we're now building the operations, systems, and teams to scale without sacrificing quality or culture. We're fully remote, and we value ownership, open communication, and speed. If you want to help build something exceptional, you'll feel at home here.
The Opportunity
On site - As a Medical Records Team Lead, you’ll be the go-to person for a team that keeps our cases moving by getting records and bills in on time and logged accurately. You’ll coach and train team members, audit quality, and handle escalations while partnering with leadership and case teams to keep standards high as we scale nationally. This is a hands-on leadership role for someone ready to grow into broader operational leadership.
What You Will Own
-
Providing regular feedback and coaching to medical records team members on performance, including request turnaround times, follow-up consistency, and data accuracy
-
Tracking and sharing team KPIs such as request turnaround, outstanding records and bills, and completion rates, and flagging trends to leadership
-
Auditing team cases to ensure quality and accuracy are being consistently executed across records and billing requests, and in Filevine documentation
-
Monitoring queue volume and assigning or rebalancing work so nothing stalls
-
Handling escalations on delayed or unresolved records and billing requests, ensuring timely responses to case teams and keeping cases moving forward
-
Acting as the point of contact between the team, medical records leadership, and attorneys or case managers
-
Collaborating across departments to support the needs of escalated cases
-
Training and onboarding new hires on records and billing request processes, provider follow-up practices, HIPAA and compliance requirements, and accurate logging and tracking in Filevine
-
Maintaining SOPs, training guides, and job aids so standards stay consistent across the team
-
Executing new processes, implementing assistance and feedback, and supporting the team through new tools, procedures, and expectations
-
Meeting regularly with medical records leadership to share team updates, performance, and opportunities for improvement
-
Ensuring consistent execution of medical records standards and high-quality communication with providers, clients, and internal case teams
-
Working overflow cases and supporting other tasks that require assistance, such as special projects and new market support, though responsibilities are not limited to these
