Medical Front Desk Specialist

We are looking for a Medical Front Desk Specialist to support daily front office operations for a non-profit healthcare organization in Charlotte, North Carolina. This contract position with permanent potential is ideal for someone who brings professionalism, warmth, and strong administrative skills to a patient-facing environment. The person in this role will serve as a key point of contact for patients, visitors, and staff while helping keep scheduling, communication, and office workflows organized and efficient.

Responsibilities

  • Welcome patients, guests, and vendors, provide direction upon arrival, and ensure each visitor is routed appropriately.

  • Answer and manage a high volume of incoming calls, respond to routine questions, and relay messages to the correct departments in a timely manner.

  • Coordinate front desk activities such as patient check-in, appointment support, visitor assistance, and general reception coverage.

  • Create, format, and update office documents, reports, presentations, and correspondence using standard business software.

  • Maintain organized records by filing, retrieving, and updating documentation and reference materials as needed.

  • Support office operations by monitoring incoming communications, scheduling meetings or events, and assisting with administrative projects.

  • Order and track office supplies, help maintain equipment functionality, and assist with routine clerical and bookkeeping-related tasks.

  • Work closely with internal teams and external contacts to ensure clear communication and smooth day-to-day operations.

  • Follow all applicable privacy, compliance, and confidentiality standards, including appropriate handling of protected health information.

  • Identify opportunities to improve office procedures and contribute to additional assignments that support the organization’s needs.

  • Associate degree in administration or a related field is preferred, along with relevant front office or administrative experience.

  • Demonstrated background in medical reception, patient scheduling, front desk coordination, or similar administrative support work.

  • Proficiency with Microsoft Office applications and familiarity with electronic medical records systems.

  • Strong verbal and written communication skills with the ability to interact professionally with patients, visitors, and staff.

  • Working knowledge of medical terminology and an understanding of patient-facing processes in a healthcare setting.

  • Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and attention to detail.
