Create Memorable Experiences. Build Connections. Drive Growth.
The Marketing Coordinator & Strategic Events Specialist will plan and deliver strategic events that strengthen Staff Domain's market presence, build relationships with prospective clients, and support client acquisition. Reporting to the Head of Marketing, you'll collaborate with Sales, Performance Marketing, Customer Success, and other internal teams to connect with the right audiences and create meaningful business opportunities.
This isn't just an event coordination role. You'll be expected to understand where Staff Domain should show up, which audiences we need to reach, and how each event can contribute to our growth. From flagship client acquisition events and industry sponsorships to client visits and employee engagement activities, you'll manage projects from planning through execution and evaluate their impact.
You'll combine strong project coordination with commercial awareness, attention to detail, and the confidence to work with senior stakeholders, Australian clients, and external suppliers.
If you enjoy bringing people together, managing multiple moving parts, and turning well-executed events into measurable business outcomes, we'd love to meet you.
What You'll Do
You'll be the kind of person who:
-
Strategic Event Planning & Execution
-
Plan and deliver one flagship client acquisition event per quarter, including trade shows, client dinners, webinars, and in-person events.
-
Own event delivery from concept to completion, covering venue selection, suppliers, budgets, invitations, collateral, run sheets, and on-the-day execution.
-
Work with Sales and Performance Marketing to build targeted guest lists, prioritising decision-makers from companies that fit Staff Domain's ideal customer profile (ICP).
-
Coordinate pre-event communications and attendee confirmations to maximise participation.
-
Ensure attendees are captured in HubSpot and hand over event attendee lists to the Sales Development Representative (SDR) team within 48 hours.
-
Produce a post-event report within one week covering attendance against ICP, qualified leads, cost per lead, and recommended improvements.
-
Event Sponsorship & Market Scanning
-
Research Australian industry events, conferences, awards, and professional associations relevant to Staff Domain's target markets.
-
Assess opportunities based on audience quality, sponsorship costs, ICP alignment, and potential business impact.
-
Present a quarterly shortlist of recommended events to the Head of Marketing, including expected audience, costs, ICP fit, and recommendations.
-
Coordinate participation in approved third-party events, managing sponsorship deliverables, speaker logistics, promotional materials, and lead capture.
-
Evaluate the performance and return on investment of sponsored and attended events to guide future marketing spend.
-
Client Visits & Experience
-
Co-own client and prospect visits with the current Events Specialist, coordinating with Sales and Customer Success to deliver a professional, engaging experience.
-
Develop visit agendas, manage logistics, and prepare relevant materials and briefings for internal teams meeting with visitors.
-
Record visit outcomes and follow-up actions in HubSpot to support ongoing client relationships and business development.
-
Employee Engagement Support
-
Support the Employee Engagement Specialist in delivering internal events, including town halls, team days, recognition activities, and company-wide celebrations.
-
Coordinate assigned suppliers, schedules, event materials, and logistics to ensure smooth execution.
-
Data Management & Reporting
-
Maintain accurate campaign, event, and contact records across Zoho and HubSpot.
-
Track event performance, including attendance against ICP, qualified leads, cost per lead, and lead handoff time to Sales.
-
Monitor campaign delivery against deadlines, tracking completion rates, outstanding deliverables, and blocked items.
-
Provide regular reports to the Head of Marketing on event outcomes, campaign progress, and opportunities for improvement.
-
Compliance & Process Adherence
-
Ensure marketing and event activities comply with brand guidelines, data privacy standards, and company procurement and expense procedures.
-
Keep event spending within approved budgets and maintain records of expenses and supplier agreements.
-
Escalate delivery risks, budget concerns, and significant delays to the appropriate stakeholders.

-
Excellent written and verbal English communication skills, including the confidence to brief Australian clients, suppliers, and senior stakeholders.
