Job title: Maintenance Controller
About the Role The purpose of this role is to support the Maintenance Manager and technicians by enforcing best practices, meeting key performance criteria, and delivering customer-oriented service aligned with CFAO's strategic vision.
What You'll Do
- Schedule, plan and communicate service activity to technicians, relevant staff, and customers; dispatch technicians for breakdowns, services, load tests, PDI, rebuilds, and booking of all jobs on mobile tech.
- Facilitate customer calls, complaints and queries; ensure follow-through and communicate results.
- Plan and arrange for machines to come to the workshop; assign technicians and follow through until delivery.
- Compile monthly sustainability report.
- Invoicing: complete jobs within 3 working days; ensure jobs are opened/closed per standards, accurate and timely.
- Ensure technicians achieve labour recovery >80%.
- Submit weekly CSI report; support the team to hit targets and maintain service excellence with timely customer communication.
- Process Service and Maintenance Agreements; update Kerridge records; handle related invoices and administrative tasks; manage service schedules where applicable.
- Assist product support engineer/foreman to keep service schedules within parameters; schedule technicians/mechanics to perform services.
- Provide scheduled (monthly/weekly/daily) and ad-hoc reports as requested.
- Process creditors invoices and create order numbers; submit tax invoices and job cards to customers; prepare quotations and follow up on orders.
- Resolve debtors’ and creditors’ queries and follow through to resolution.
- Weekly GPS amendments for business & private trips.
- Process technician overtime; order parts and follow up with suppliers.
- Add driver training candidates to the TETA database within 5 days of training.
- Issue load test certificates within 2 working days after testing.
- Perform general administrative duties (emailing, filing, reports, etc.).
What We're Looking For
- Advanced / Expert computer literacy in MS Outlook, Word and Excel.
- 3+ years’ experience in MHE / Motor Industry.
- Experience working on the Kerridge system.
- Code 8 driver's licence.
